JOB SUMMARY:
Ensures a fluid work environment within the office of the Vice President(s) of Finance and the departments they support by performing administrative and office management duties. Uses initiative and good judgment; works independently with little supervision and maintains strict confidentiality.
MAJOR RESPONSIBILITIES:
- Provides administrative support for the Vice President(s) and corresponding executive(s) and department that may include typing, mailing, emailing, copying, screening/prioritizing/directing incoming calls and mail/correspondence, and other essential administrative duties.
- Maintains executive(s)’ calendar and makes all necessary arrangements for appointments and travel including expense reporting responsibilities within the UO systems.
- Initiate and follow-up on action items for new and/or routine projects, processes, and/or policies, includes acquiring and maintaining technology needs through standard UO/UDX procedures, onboarding, sourcing, and workspace coordination.
- Obtains, compiles, organizes, and prepares information and data for various reports, databases, presentations, spreadsheets and/or files as appropriate and required.
- Coordinate and execute all Finance team events, including quarterly town halls, meetings, and monthly lunches, in partnership with other Executive Assistants and cross-functional teams. Manage event logistics, catering and entertainment, agenda and activity planning, PowerPoint presentations, communications, and onsite coordination to ensure successful and engaging events.
- Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training, and team member involvement activities.
- Perform other duties as assigned.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities (KSAs) required.
- Proficiency in Outlook, Word and Excel required.
- Proficiency in PowerPoint preferred.
- Proficiency with telecommunication devices (e.g., iPhone) preferred.
- Familiarity with UO systems is a plus.

EDUCATION:
- Bachelor’s degree is preferred.
EXPERIENCE:
- 3+ years of Senior Administrative Assistant experience required ; or equivalent combination of education and experience.
