DescriptionProvides executive administrative and secretarial support to the Vice Presidents of Hotel and Food & Beverage, as well as other executives as needed. Coordinates office operations, schedules, and administrative processes to ensure efficient workflow. Works independently to prioritize assignments, manage projects, meet deadlines, and prepare recurring reports. Supports Hotel and Food & Beverage operations while responding to and resolving guest questions, concerns, and feedback across multiple platforms, including social media and Medallia.
Responsibilities- Answer and screen telephone calls; direct inquiries to the appropriate departments.
- Maintain records of important phone calls.
- Greet visitors, determine the nature of their business, and direct them to the appropriate individual.
- Maintain appointment schedules for meetings, luncheons, conferences, and discussions; provide reminders as needed.
- Deliver exceptional customer service to guests in person and over the phone.
- Make discretionary decisions and effectively coordinate with appropriate departments.
- Maintain a comprehensive calendar to ensure reports are prepared and submitted in a timely manner.
- Retrieve, screen, prioritize, and distribute incoming and outgoing mail.
- Prepare and proofread emails, letters, reports, memoranda, and other company documents; gather reference materials and assist with supporting documentation.
- Compile and maintain data; assist with report preparation and recordkeeping.
- Respond to correspondence and compose memoranda and letters from verbal instructions, shorthand, speed writing, or notes.
- Take dictation and prepare business correspondence in response to customer inquiries, meetings, and discussions.
- Coordinate travel arrangements and itineraries for the General Manager.
- Arrange internal and external customer reservations.
- Monitor office supply inventory and replenish as needed within budget guidelines.
- Process invoices, check requests, and expense reports.
- Maintain confidentiality of sensitive information, including salaries, coaching, and disciplinary matters.
- Maintain attendance standards and comply with all departmental and company policies.
- Perform other duties as assigned.
- Exercise professionalism and discretion, maintain confidentiality, promote ethical conduct, and handle situations honestly and lawfully.
- Effectively manage multiple projects, prioritize tasks, establish goals, and coordinate schedules and resources.
- Ensure accuracy in documentation and data, follow detailed procedures, and maintain organized records.
- Communicate clearly and professionally, both verbally and in writing; effectively interpret information and interact with customers and team members.
- Adhere to organizational policies and procedures, including during high-pressure or emergency situations.
- Provide outstanding guest service using tact, diplomacy, and professionalism; effectively resolve conflicts and communication challenges.
Qualifications- Ability to sit for extended periods (6 to 8 hours).
- Ability to respond to visual and auditory cues.
- Must be fluent in spoken and written English.
- Ability to remain calm and make sound decisions when addressing guest or employee concerns.
- Ability to stoop, bend, and move throughout the department, casino, and hotel as needed.
- Ability to lift and carry up to 10 pounds.
- Manual dexterity required to type, file, sort, reach, and operate standard office equipment, including computers, telephones, copiers, postage machines, and fax machines.
- Ability to work in environments with secondhand smoke, dust, loud noise, and bright lighting.
- Ability to walk extended distances.
- Ability to work a flexible schedule, including weekends and holidays as needed.
ADDITIONAL REQUIREMENTS
- High school diploma or equivalent required; bachelor's degree preferred or equivalent work experience.
- Five years previous experience as support staff preferred.
- Must have proven accountability when working with confidential information.
- Proficient skill with personal computer software packages to include Microsoft Word, Excel, and PowerPoint required.
- Must possess excellent communication skills, oral and written, as well as excellent interpersonal and problem-solving skills.
- Must be highly organized and possess the ability to handle multiple assignments in a fast-paced environment.
- Must have a professional appearance and be a team player.
