Job Description
We are seeking an experienced Administrative Assistant 3 (IT) to provide administrative and office support to multiple professionals, including directors, managers, and staff. The ideal candidate will be highly organized, detail-oriented, proactive, and comfortable working in a fast-paced and changing environment.
Key Responsibilities
- Provide administrative and office support to directors, managers, and team members.
- Manage calendars, schedules, appointments, and meeting coordination.
- Arrange business travel and related logistics.
- Schedule meetings, conference rooms, catering, deliveries, and other meeting requirements.
- Field telephone calls and manage incoming and outgoing emails.
- Prepare meeting notes, track action items, and send follow-up reminders.
- Organize and maintain documents, records, and administrative files.
- Read, analyze, proofread, and edit documents, emails, presentations, and other business materials.
- Maintain office supplies and coordinate replenishment as needed.
- Assist with key team/office events and activities.
- Use word processing, spreadsheet, database, presentation, and other business software.
- Prioritize daily workload and ensure deadlines are met.
- Proactively identify issues, resolve routine problems, and escalate matters when appropriate.
- Maintain a professional level of verbal and written communication.
Required Skills
- 5–10 years of administrative assistant or office-support experience.
- Strong calendar and meeting management skills.
- Experience supporting managers, directors, executives, or multiple professionals.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong written and verbal communication skills.
- Experience arranging travel and coordinating meetings/events.
- Proficiency with Microsoft Office or comparable business applications, including:
- Word processing
- Spreadsheets/Excel
- Databases
- Presentation software
- Strong proofreading and document-review skills.
- Proactive problem-solving and decision-making abilities.
- Ability to learn new processes and software quickly.
Education
- High school diploma or equivalent required.
- Associate degree or additional administrative/business education is preferred.
