Executive Assistant

POSITION SUMMARY:
This position contributes to the fulfillment of Thayer County Health Services’ mission and vision by providing administrative support to the CEO and the Senior Leadership Team.
SUPERVISION: Reports to the CEO SHIFT: Full Time, Non-Exempt, Days
JOB QUALIFICATIONS:
- High School Diploma or equivalent required.
- Associate degree (or higher level of education) is preferred.
- Experience in a health care environment is preferred.
- Proficient in office organization, filing, Microsoft Office Suite, spreadsheets, presentation graphics, and executive assistance required.
- Excels in time management and prioritization.
PRINCIPAL RESPONSIBILITIES:
- Serves as executive assistant to the CEO.
- Serves as point of contact for the Senior Leadership Team.
- When delegated manages and coordinates information flow related to administration of Thayer County Health Services.
- Maintains a high degree of discretion and confidentiality related to privileged information exchanged at the senior team level.
- Provides administrative support to the Senior Leadership Team as approved by the CEO.
- Serves as an adjunct member of the Senior Leadership Team, including assisting in scheduling meetings.
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserves executive’s time by reading and researching as requested, routing correspondence to appropriate departments/directors; drafting letters and documents as assigned; collecting and analyzing information as necessary.
- Maintains Senior Leadership members schedule by planning and scheduling meetings, conferences, teleconferences, and travel as necessary.
- Maintains the administrative office to include filing, record keeping and communications.
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies, evaluating new office products; placing and expediting orders for supplies, and verifying receipt of supplies.
- Manages organizational contracts in a central electronic/online location.
- Opens, organizes, and distributes the daily mail to ensure correct delivery.
- Prepares administrative correspondence and responds to requests for information as necessary.
- Assures the security and confidentiality of all records, communications and files.
- Prepares for all Board of Trustees meetings, including: preparing the agenda, delivering board packets electronically, taking minutes, preparing all handouts, maintaining records, and posting the agenda and meeting minutes in designated areas for public viewing per compliance regulations.
- Coordinates all meetings that have Senior Leadership attendance.
- Takes minutes for all assigned administrative meetings, and distributes minutes within 72 hours of meeting completion.
- Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, participating in professional societies.
- Responsible for preparing and maintaining credentialing and re-credentialing files for providers and other healthcare professionals.
- Performs other duties and projects as assigned.

- Understand and comply with the requirements of Thayer County Health Services’ Compliance Program, including, but not limited to, the Code of Conduct, the Compliance Manual, all supporting policies for compliance and compliance plans.
- Participate in all education and training programs regarding compliance as required by organizational policy and as requested by supervisor.
- Demonstrates formal greeting with patients, visitor and TCHS staff.
- Willingly accepts new responsibilities and cooperates with implementation of change.
- Dresses in a neat, clean uniform for patient care; maintains high personal hygiene standards.
- Demonstrates respect, integrity, compassion, and excellence through a “We Care” philosophy with all patients, visitors, and TCHS staff.
WORKING CONDITIONS:
- Normal office environment. Routine periods of sitting, walking, and standing required.
