The Firm has an opening for a full-time Legal Executive Assistant & Practice Coordinator in the Firm’s Chicago office.
The Opportunity
We are seeking an experienced Legal Executive Assistant & Practice Coordinator to support a Partner and associates in a fast-paced national practice. This role combines executive support, legal administration, and practice management responsibilities. The successful candidate will be a proactive, highly organized professional who enjoys solving problems, managing priorities, improving processes, and serving as a valued member of the team.
This position offers significant variety and responsibility, including supporting legal matters, client communications, business development efforts, presentations, speaking engagements, and daily practice operations. The ideal candidate will demonstrate strong judgment, initiative, attention to detail, and a commitment to exceptional client service.
Essential Duties
Practice Management & Executive Support
Manage attorney calendars, deadlines, travel, meetings, and expenses.
Coordinate workloads, track action items, and ensure timely follow-up.
Maintain tracking systems, reports, and project lists.
Prepare presentations and support process improvement initiatives.
Legal Support
Open and maintain client files and onboarding documents.
Draft, proofread, format, and manage legal correspondence and documents.
Coordinate document management and assist with court filings.
Support litigation and transactional matters through organization and deadline management.
Participate in client meetings and track follow-up items.
Projects & Team Collaboration
Contribute to business development, special projects, and operational improvements.
Collaborate with attorneys and staff to enhance efficiency and organization.
Take ownership of projects from inception through completion.
Recommend and implement improvements to workflow, communication, and practice management.
Qualifications
3+ years of legal assistant, litigation assistant, executive assistant, or comparable professional experience
Strong organizational and project management skills
Excellent attention to detail and follow-through
Outstanding written and verbal communication skills
Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and related technologies
Experience using NetDocuments or other document management systems
Experience with federal and state court filings
Ability to manage multiple priorities in a fast-paced environment
Ability to work independently while exercising sound judgment and professionalism
Ability to adapt quickly as priorities change
Preferred
Litigation experience within a law firm environment
Experience supporting multiple attorneys simultaneously
Experience coordinating projects, tracking deadlines, or supporting practice management initiatives
Familiarity with, or strong interest in, emerging technologies, including artificial intelligence tools and legal technology platforms
