Clay County is seeking a dependable, organized, and professional Administrative Assistant to join the Juvenile Office. This position serves as the primary front desk receptionist and provides essential administrative and case-support services to help keep the office running efficiently.
The ideal candidate is someone who enjoys working with people, can manage multiple priorities, maintains confidentiality, and takes pride in providing professional and accurate administrative support.
What You’ll Do
Front Desk & Reception
- Serve as the primary receptionist and first point of contact for visitors and callers.
- Answer, screen, and route calls using a multi-line telephone system.
- Greet visitors and direct them to the appropriate staff member.
- Open and close the building and prepare the lobby for daily operations.
- Receive, sort, and distribute incoming mail and deliveries and process outgoing mail and packages.
- Maintain accurate information regarding staff availability and office presence.
Administrative & Case Support
- Prepare and distribute weekly hearing notification letters to appropriate case parties.
- Scan and organize documents for electronic case files and court filings.
- Gather and verify demographic, contact, and identifying information for case parties.
- Update and create party identification information as needed.
- Prepare correspondence, agendas, memoranda, reports, and other documents.
- Maintain staff contact rosters and other administrative records.
- Work collaboratively with other administrative staff to balance workloads and provide seamless support to the Juvenile Office.
What We’re Looking For
Successful candidates will have:
- A high school diploma or equivalent.
- One to three years of progressively responsible related experience, or an equivalent combination of education and experience.
- Knowledge of modern office practices, procedures, computers, and electronic data processing.
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- The ability to manage multiple priorities and time-sensitive responsibilities with minimal supervision.
- The professionalism and composure necessary to interact with the public and manage challenging or confrontational situations.
