Role: Executive Assistant

Upfront Ventures is seeking an Executive Assistant to join our team in Santa Monica, CA. Founded in 1996, Upfront is one of the most established venture capital funds in the Southern California area with over $2B AUM. Throughout its history, Upfront has invested in hundreds of businesses and has an active portfolio of 100+ investments today; diversified across the SaaS, fintech, consumer, life sciences, gaming, and sustainability industries, among others. Our ideal candidate is professional and a self-starter with a proactive, positive, and can-do attitude. You will play a central role on our team and it’s essential that this person enjoys wearing multiple hats, ranging from:
Providing administrative support to two Investment Partners
Shared responsibilities across the EA team related to general office maintenance and management
Role & Responsibilities
Manage, prioritize, schedule and coordinate calendars and internal and external meetings
Arrange domestic and some international travel
Process and track invoices and receipts, submit expense reports
Greet and welcome guests
Get guests settled into and prepared for meetings (including AV)
Collaborate with the EAs in our Santa Monica office on shared responsibilities such as:
Manage, straighten up, and stock up conference rooms before and after meetings
Order and restock all kitchen and office supplies
Prepare and receive packages and mail
Create and maintain an inviting, clean, safe and engaging work environment, ensuring high levels of organization to ensure effective operations of the day to day in the office
Ad hoc projects as needed

Experienced “executive-wrangler,” keeping the Partners that you support on track
Logistics pro, own the coordination and management of meetings, calls, travel and ad-hoc projects
Strong multi-tasker- ability to manage multiple projects at once, while never losing sight of the details
Can do, positive attitude and hands on approach, no task is too small or big
Ability to manage through ambiguity and remain calm under pressure
Strong situational judgment- ability to gracefully and confidently handle different personality types and situations
Maintain discretion and professionally handle confidential information
Qualifications & Experience:
Bachelor’s degree and a minimum of 5+ years of Executive Administrative experience
Expertise with Google Workspace (gmail, google drive, calendar) and Office suite
Proficient Mac user
Fine-tuned business acumen
Strong written and verbal communication skills
Creative, tech savvy and up to date with productivity apps and tools
This role is onsite, in office Monday- Friday, 8:00 am – 4:30 pm
We are only open to local candidates
This is a non-exempt, hourly position, typically 40 hours a week. The salary range is $48.00/hour to $62.50.
