Position Summary
The Culinary Administrative Assistant provides day-to-day administrative support to the Executive Chef and culinary leadership team, keeping menu communication, scheduling, ordering, and kitchen-to-finance paperwork running smoothly across dining operations. This role is the connective tissue between the kitchen and the office � turning the Chef's plans into printed menus, organized schedules, and accurate financial records.
Key Responsibilities
Culinary Administrative Support
- Assist the Executive Chef with day-to-day administrative duties, including staff scheduling support and calendar coordination
- Format, print, and post updated menus for service points and campus communication boards/digital displays
- Maintain organized, current versions of menus and culinary documents
- Support ordering processes � entering, tracking, and confirming vendor orders as directed by the Chef
Communication
- Serve as a communication link between the Chef and kitchen staff for daily updates, schedule changes, and operational notices
- Relay information between dining services leadership and other departments as needed
- Help draft and distribute internal culinary communications (memos, schedule updates, menu notices)
Financial & Invoicing Liaison
- Process and organize vendor invoices for the kitchen
- Serve as the liaison between the kitchen and the finance/business office on invoicing questions, discrepancies, and documentation
- Maintain accurate, organized records of purchases and invoices to support budget tracking
Qualifications
- Prior administrative or office support experience required; experience in a kitchen, food service, or hospitality setting strongly preferred
- Comfortable with basic office software (Word, Excel/Google Sheets, email/calendar tools); experience with ordering or invoicing platforms a plus
- Strong organizational skills and attention to detail
- Clear, professional written and verbal communication
- Able to work independently, manage multiple small tasks, and meet recurring deadlines (menu postings, invoice cycles)
- Discretion handling financial and personnel-related information
Work Environment
- Primarily an office/administrative role based in or near the kitchen, with regular interaction with culinary and finance staff
- Full-time schedule tied to the school year around events, breaks, and service needs
Compensation and Benefits
- Comprehensive benefits package including medical, dental, vision, retirement contributions, professional development opportunities, and tuition remission benefits.
- Salary range: $24 � $28 per hour, based on experience and scope of financial/invoicing responsibilities.
