PRIMARY PURPOSE:
Support efficient and effective activities and duties of the Human Resources Office while providing administrative/secretarial assistance to the Executive Director of Human Resources and other HR staff. Handle confidential information and frequent contact with all levels of District employees, outside agencies, Board of Trustees, and the general public.
QUALIFICATIONS:
Education/Certification:
High School Diploma or GED
Special Knowledge/Skills:
Effective interpersonal communications and public relations skills
Proficient skills in keyboarding, data entry, word processing, and file maintenance
Ability to use software to develop spreadsheets and databases and word processing
Effective math and accounting practices and procedures.
Strong organizational, analytical, written, and verbal communication skills.
Knowledge of basic human resources practices and procedures, preferably in a public school district setting.
Experience:
Minimum of five years successful administrative support/secretarial experience.
Human Resources experience preferred.
Skyward experience preferred.
MAJOR RESPONSIBILITIES AND DUTIES:
- Perform administrative support/secretarial duties for the Executive Director of Human Resources and other HR staff as required.
- Prepare correspondence, forms, manuals, schedules, and reports for the director of human resources and other department staff members.
- Prepare recruitment and new-hire packets.
- Process and receive criminal history record information, references, and other application materials.
- Assist with maintenance of information in the employee database.
- Prepare correspondence, forms, manuals, schedules, contracts and reports utilizing word processing and spreadsheet software applications. To also include, but not limited to the updating, producing and distributing of:

- Compile pertinent data as needed when preparing various reports.
- Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
- Greet visitors and assist employees and applicants with completing applications and required paperwork.
- Maintain a schedule of appointments and assist with scheduling interviews and meetings.
- Make meeting arrangement for department activities including preparing materials,
scheduling and setting up facilities, and arranging equipment.
- Make travel arrangements for the department.
- Receive, sort, and distribute mail and other documents to department staff.
- Follow district safety protocols and emergency procedures.
- Complete duties of GISD Administration Receptionist during breaks and absences.
- Process financial activities of the HR Department, including purchase orders.
- Facilitate and coordinate employee recognition award programs for years of service, retirement, and Teacher of the Year.
- Meet with professional and paraprofessional new hires to complete new hire paperwork.
- Assist with the preparation of the Human Resources Department budget.
- Coordinate recruiting activities for the District Job Fairs and with contracted recruitment staff including University Job Fair registrations.
- Assist Executive Director with appointments and calendar.
- Complete office inventory, process purchase orders for department office and equipment supplies.
- Responsible for orderly maintenance of the records/supply room.
- Maintain physical and computerized electronic files, and assist with scanning records and filing.
- Serve as a Superuser for Red Rover. Post vacancy positions, internal positions, transfer positions; create forms and system workflows.
- Reserve facilities for Human Resources meetings, and schedule and facilitate all new employee onboarding sessions.
- Process all resignations, transfers, and new hire recommendations in the HRIS.
- Coordinate with other departments as needed to provide assistance with New Teacher Academy and New Employee Orientation.
- Exemplify high standards of ethical conduct as described in Board Policy and in accordance with generally accepted community standards and the professional Educators Code of Ethics.
- Ensure confidentiality of employee information and adhere to Privacy regulations.
- Perform other duties as assigned by the supervisor.
- Conduct Criminal History Background checks and fingerprinting.
- Assist with process Open Records Requests in a timely manner.
WORKING CONDITIONS:
Tools/Equipment Used: Standard office equipment including computer, printer, scanner, copier, calculator
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions with keyboarding and use of mouse; occasional reaching
Lifting: Occasional light lifting and carrying (under 15 pounds)
Environment: May work prolonged or irregular hours; Occasional districtwide travel
Mental Demands: Work with frequent interruptions; maintain emotional control under stress Reading; ability to communicate effectively (verbal);
TERMS OF EMPLOYMENT:
12 months, 226 days per year. Salary and work year to be established by the Board
