Executive Assistant
Contract: 2 months to start, with potential for extension
Rate: $37/hour W2
Location: New York, NY | Hybrid
Job Responsibilities
- Provide professional telephone coverage, managing priorities and handling urgent calls with sound judgment.
- Manage executive calendars, including scheduling and rescheduling meetings, conference calls, and resolving scheduling conflicts.
- Coordinate large group meetings, including availability, meeting rooms, special facilities, confirmations, and meeting materials.
- Arrange domestic and international business travel, coordinate out-of-town meeting schedules, and prepare expense reimbursement requests.
- Communicate professionally with executives, clients, and executive assistants, serving as a key liaison.
- Manage correspondence, documents, filing systems, and confidential files for managers.
- Coordinate with internal departments to gather information, respond to requests, and obtain services on behalf of executives.
- Manage incoming mail and packages, including messenger and overnight delivery services.
- Provide backup administrative support for colleagues and their managers as needed.
- Handle general administrative duties, including copying, supply management, and maintaining an organized and fully functioning executive office.
- Support business-unit administrative functions, including onboarding new hires, coordinating desk/office setup, and assisting with system/log-in access.
Qualifications
- Previous experience supporting executives in a fast-paced corporate environment.
- Strong calendar management, meeting coordination, and travel planning skills.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Professional judgment and discretion when handling confidential information.
- Proficiency with Microsoft Office and common corporate scheduling/travel tools.
- Ability to interact effectively with senior executives, clients, and internal teams.
