We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support our team's daily operations. In this role, you will serve as the backbone of our office, managing schedules, coordinating communications, and ensuring administrative tasks are executed efficiently. The ideal candidate is a strong communicator, a skilled problem-solver, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
Calendar & Schedule Management: Coordinate and maintain executive or team calendars, schedule meetings, and arrange travel logistics.
Communication & Correspondence: Act as a primary point of contact for internal and external inquiries; draft, review, and distribute emails, memos, and reports.
Document Support: Create, format, and maintain digital and physical files, spreadsheets, and presentations.
Office Operations: Manage office supplies inventory, handle incoming/outgoing mail, and ensure the general office environment runs smoothly.
Project Tracking: Assist with basic project coordination, tracking timelines, and following up on action items with team members.
Meeting Support: Prepare meeting agendas, compile background materials, and take accurate minutes or action items during team sessions.
Qualifications & Skills
Experience: 2+ years of experience in an administrative, clerical, or office support role.
Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
Technical Proficiency: Strong skills in MS Office Suite (Word, Excel, PowerPoint) and/or Google Workspace (Docs, Sheets, Slides, Drive).
Organization: Exceptional time-management skills with a proven ability to prioritize tasks and meet deadlines.
Communication: Excellent written and verbal communication skills with a professional demeanor.
Problem-Solving: Resourceful and adaptable, with the ability to troubleshoot minor operational hitches independently.
