As a Legal Administrative Assistant in our Immigration Service Line, you’ll play a key part in supporting our immigration attorneys and paralegals in preparing, filing and tracking employment-based immigration petitions and applications. We’re looking for a professional with 3+ years of legal administrative or immigration experience who thrives in a dynamic environment. The ideal candidate is highly organized and brings a strong work ethic along with sharp problem-solving skills.
Where You’ll Work
The Legal Administrative Assistant is an hourly non-exempt position and will work full-time from our Tampa, Florida office.
What You’ll Do
- Support attorneys and paralegals in preparing, filing, and tracking employment-based immigration petitions and applications.
- Manage case files, matter setup, deadlines, status updates, and electronic records from intake through completion.
- Collect, organize, and maintain client, employer, and case documentation within the firm's case-management system.
- Prepare USCIS and DOL filings, including petition finalization, check requests, shipping labels, and filing coordination.
- Communicate with clients, employers, HR representatives, government agencies, and other stakeholders regarding case matters.
- Track case progress, including receipts, approvals, RFEs, and other immigration-related developments.
- Draft, proofread, and process correspondence and legal documents, ensuring accuracy and professionalism.
- Coordinate document requests, signatures, meetings, consultations, and attorney/paralegal calendars.
- Manage attorney time entry, client billing, mail processing, reimbursements, and other administrative functions.
- Provide general case-management and administrative support to the immigration team.
What We’re Looking For
- Minimum 3+ years of legal administrative assistant or immigration experience
- High School Diploma required; Associate degree or higher preferred
- Proficiency in using Microsoft Office Suite
- Ability to manage multiple projects or tasks in a demanding environment
- Excellent “people” skills and ability to identify solutions when faced with a problem
- Ability to maintain composure under pressure and exemplify a high level of patience

Physical Requirements
- Ability to sit frequently (up to 6 hours per day)
- Static sitting position for up to 1 hour at a time
- Occasionally lift and carry up to 20 pounds (about 30 minutes per day)
