ADMINISTRATIVE SECRETARY - FINANCIAL SPECIALIST

8 hours/day, 260 days/year
RATE OF PAY: $32.62 - $40.17

POSITION SUMMARY: Responsible for providing high quality support while implementing and maintaining fiscal systems at New Market Skills Center. Responsible for daily completion of assigned projects relating to the school’s mission. The purpose of this position is to ensure consistent fiscal and accounting accuracy on behalf of New Market Skills Center and Tumwater School District.
QUALIFICATIONS: High school diploma and post-secondary training or accounting degree preferred; advanced knowledge of Qmlativ Financial Information Systems, minimum three years’ experience preferred; advanced data research skills, minimum two years’ experience preferred; minimum one year of experience preferred; criminal justice fingerprint clearance.
ESSENTIAL FUNCTIONS (functions listed may include, but are not limited to the following):
- Manages all accounts payable and receivable using the Qmalative financial database to perform fiscal functions in order to maintain accurate financial records
- Manages the school’s InTouch point-of-sale system including the daily end-of-period transactions reporting to the County Treasurer and Tumwater School District’s financial administrator
- Maintains the Associated Student Body (ASB) Chart of Accounts, monitoring ASB activity and budget, working closely with the ASB Advisor
- Prepares all invoices for the General Fund, ASB, and Private Purpose accounts
- Assists the Executive Director with Personal Service Contracts and Instructional Contracts
- Submits all invoices to the district for payment
- Annual invoicing of consortium districts for service provided, to include capital projects and instruction
- Provides front office coverage as needed, including backup phone coverage, welcoming visitors, staff, and students and directing them to appropriate resources, offices, or personnel.
- Monitors and adapts to changes in accounting policies and procedures to ensure ongoing compliance with Washington State law
- Keep accurate files and records for all grants and contracts
- Process requests and maintain files for journal entries and budget transfers
- Assists staff with conference registrations to include hotel reservations and travel requests
- Conduct monthly audits of all petty cash
- Work within the Informed K12 system for paperless data transactions
- Work closely with business partners, vendors, and other agencies
- Maintain superior ethical standards and confidentiality throughout all duties
- Protect the interest of the school and district regarding pilferage, loss, theft or abuse of all assets
- Meet inflexible deadlines through varied and irregular work schedule to accommodate the school’s schedule for special events
- Attend meetings, workshops, and conferences, as assigned to enhance technical knowledge of database management techniques and methodology
- Other duties as assigned by New Market’s Executive Director and/or Director of Student Services
REQUIREMENTS:
- Expert level knowledge of district and department policies, state/federal laws and rules and regulations related to school district finance
- Knowledge of school level departmental operations and procedures
- Ability to communicate verbally and in writing, in a clear, concise, and patient manner; can effectively interact and adjust language tone and pace as necessary to ensure understanding for a diverse audience
- Proficient skills with computer applications, including Microsoft Office, Excel, and Google Suite
- Ability to work effectively in a fast-paced environment with frequent interruptions and changing priorities while consistently producing accurate work
- Conduct all job responsibilities independently with utmost confidentiality
- Ability to prioritize work assignments, showing initiative and meeting rigid deadlines
- Ability to lead and direct others’ work as well as be a cooperative team member
- Ability to consistently display a positive, solution-focused, and customer service focused attitude
- Ability to sit for prolonged periods, understand and carry out oral and written instructions
- Significant physical abilities include reaching, handling, digital dexterity; talking and hearing conversation; near and distant visual acuity/visual accommodation
