Administrative Assistant / Front Office Coordinator
Community Home Health Care is seeking a friendly, organized, and dependable Administrative Assistant to serve as the welcoming face of our office. This position is ideal for someone with an outgoing personality who enjoys helping others, working with a team, and supporting the daily flow of a busy healthcare office.
Key Responsibilities
- Greet clients, employees, applicants, vendors, and guests in a warm and professional manner
- Answer, screen, and direct incoming telephone calls
- Assist visitors and staff with questions or connect them with the appropriate department
- Provide administrative support to management, human resources, scheduling, nursing, and other departments
- Prepare correspondence, forms, reports, flyers, and office communications
- Create engaging employee newsletters, announcements, and recognition materials
- Assist with onboarding paperwork, employee files, training materials, and document collection
- Receive, sort, and distribute mail, deliveries, faxes, and office documents
- Maintain an organized, professional, and inviting front-office area
- Schedule appointments, meetings, interviews, and office activities as needed
- Enter information accurately into company systems and spreadsheets
- Maintain confidentiality of employee and client information in accordance with HIPAA and company policies
- Monitor office supplies and assist with ordering when necessary
- Help coordinate employee events, celebrations, and staff-engagement activities
- Assist multiple departments and adjust priorities based on the needs of the office
- Complete additional administrative duties as assigned
Qualifications
- Previous administrative, receptionist, customer-service, or healthcare-office experience preferred
- Friendly, positive, and outgoing personality
- Strong verbal and written communication skills
- Creative ability to develop newsletters, flyers, and office communications
- Excellent organizational and time-management skills
- Able to multitask in a busy environment while maintaining accuracy
- Dependable, professional, and willing to help wherever needed
- Comfortable working independently and as part of a team
- Proficient with Microsoft Word, Outlook, Excel, and general office technology
- Able to handle confidential and sensitive information appropriately
- High school diploma or equivalent required
