L&S Truck Center is a local, family run, Medium/Heavy Duty truck dealership that is looking for an enthusiastic Administrative Assistant to join our office team. We are committed to growth in our dealership and need a forward thinking, dedicated individual with a positive customer facing attitude. This is an on-site position.
Potential candidates should be able to multitask and be open to learning new processes as they become comfortable with the role. Previous experience with A/P and A/R or other accounting is preferred.
Core Responsibilities Include:
- Answering phones and being the first face many customers see when they enter the Sales Office.
- POS processing for customer invoices in person as well as payments on account.
- Assessing customer needs and directing them to the appropriate departments.
- Balancing and preparing the Daily Deposit, reconciling the bank account daily, and cash drawer reconciliation.
- Posting receipted payments to appropriate schedule and/or customer account(s) in a timely manner.
- Initial contact for A/R customer inquiries/questions related to accounts. [Resolving billing/payment issues.]
- Processing of new credit applications from start to finish in a timely manner, with regard to established procedures.
- Create and maintain parking rental invoices and payments.
- Prepare and mail the monthly A/R statements, utilizing system reports to contact/follow up with “Past Due” or “Over Limit” accounts. [Collections].
- Maintain the Accounts Receivable database, and assist with maintaining proper record retention.
- Compile/Maintain a proper set of notes and or correspondence that is related to this position.
- Arrive at work, take breaks, and depart work at the times designated by Office Manager.
Additional Responsibilities may include but are not limited to:
- Gain a working knowledge of the company handbook, policies and procedures.
- Enter payables, reconcile monthly A/P statements, and issue check payments.
- Assist with various month/year end issues (data entry, verification of output, etc)
- Assist in reconciling/balancing various accounts and/or schedules as assigned by the Office Manager
- Provide support to other areas within the front office, assisting with special projects as directed by the Office Manager or General Manager.
- Maintain and update website postings of current in-stock inventory, and removing sold inventory.
Requirements:
- Friendly and professional communication skills.
- Works well under pressure and can prioritize an ever-changing workload.
- Computer literacy, including typing, email, Word, and basic Excel functions.
- Ability to keep on track and complete individual assignments and responsibilities without constant supervision.
- Knowledge of basic accounting (effects of debits and credits).
