This isn't your typical Board Secretary role. We're not looking for a simple minute-taker. We're looking for a process-driven builder who wants to gain executive-level governance experience and make a real impact on an industry through a modern, digital-first nonprofit.
About Us: The OPEN Talent Society is a 501(c)(3) nonprofit whose mission is to be the positive force that helps everyone raise their game in the "People" industry by providing free access to training and educational materials. We're a passionate, all-volunteer team that believes knowledge shouldn't be paywalled.
The Opportunity: What's In It For You? This is a unique, high-flexibility, high-impact volunteer role. The core responsibilities are not overly demanding, but the opportunity for growth is significant.
Gain Executive-Level Experience: Step into a formal officer role on a nonprofit board, a valuable addition to any resume.
Own and Build: This isn't about maintaining old systems. You'll have the autonomy to redesign our digital records, streamline our processes, and own the operational backbone of our governance.
Become an AI in Ops Expert: Get hands-on experience leveraging AI tools (like ChatGPT/Gemini) to drive efficiency in a real-world setting. We'll support your learning and experimentation.
Structured Onboarding & Mentorship: Our outgoing secretary is providing a multi-month transition period to ensure you're set up for success. You won't be thrown in the deep end.
What You'll Do (The Core Responsibilities): As the official steward of our corporate records, you'll ensure our governance runs smoothly. This includes preparing agendas and materials for board meetings, taking clear and concise minutes, managing our official records (bylaws, policies, etc.), and ensuring we remain compliant with all legal requirements.
High-Impact Projects You Can Own:
Digital Transformation: Spearhead the reorganization of our document management to improve efficiency and accessibility for the entire board.
AI-Powered Process Design: Evolve and document our process for creating meeting minutes using AI tools, making it a model of efficiency.
Documentation Overhaul: Take ownership of key documentation, like our minutes and document signing processes, making them clear, simple, and up-to-date.
Who We're Looking For (The Ideal Candidate): We're looking for a proactive, process-driven individual. You don't need prior board experience, but you do need:
A Background in Organization: Experience in a role like an Executive Assistant, HR/Recruiting Coordinator, Project Coordinator, or Operations is ideal.
A Process-Driven Mindset: You love creating order from chaos and building systems that work.
Tech Curiosity: You're a self-starter who is excited to learn and apply new technologies, especially AI tools, to make work better and faster.
Exceptional Organization & Integrity: You have keen attention to detail and can be trusted with confidential information.
The Commitment:
Time: Core duties require ~4-6 hours per month, concentrated around monthyl and quarterly meetings. Project work is flexible and based on your interest and availability.
Term: This is a one-year or two-year term, with the possibility of renewal for up to two additional terms as per our bylaws.
Compensation: This is an unpaid volunteer position. All members of the OPEN Talent Society are unpaid volunteers.
Ready to Build With Us? If you're excited by the opportunity to apply your skills in a meaningful way, gain valuable experience, and help shape the future of a growing nonprofit, we encourage you to apply.
