Position Summary
Archbishop Moeller High School is seeking a highly organized, proactive, and professional Business Operations Executive Assistant to provide executive-level administrative support to the President and Business Operations Office. This full-time position serves as a key operational partner responsible for managing complex calendars, coordinating critical meetings, supporting strategic initiatives, and ensuring the smooth day-to-day functioning of the school's business and executive offices.
The Business Operations Executive Assistant serves as a central point of coordination for school leadership, Board-related activities, vendors, parents, alumni, and community partners. The successful candidate will be a trusted professional who demonstrates exceptional judgment, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support
- Provide direct administrative support to the President and Business Operations leadership team.
- Manage and prioritize complex calendars, appointments, and scheduling requests.
- Coordinate executive meetings, leadership meetings, Board committee meetings, and special events.
- Prepare agendas, reports, presentations, correspondence, and meeting materials.
- Record and distribute meeting minutes and track follow-up action items.
- Manage confidential information and sensitive communications with the highest level of discretion.
Business Operations Support
- Assist with operational projects, reporting, document management, and administrative processes.
- Coordinate with vendors, service providers, consultants, and school stakeholders.
- Support contract administration, purchasing processes, invoice routing, and other business office functions.
- Maintain records, filing systems, and departmental documentation.
- Assist with budget tracking and administrative reporting as needed.
Meeting & Event Management
- Schedule and coordinate high-priority meetings involving administrators, board members, benefactors, vendors, and external partners.
- Manage meeting logistics including room reservations, technology coordination, catering, and communications.
- Support planning and execution of leadership events, donor functions, and school-wide initiatives.
- Ensure all meetings are professionally organized and executed.
Communication & Office Coordination
- Serve as a professional and welcoming first point of contact for visitors and stakeholders.
- Draft, edit, and distribute executive communications.
- Coordinate information flow between departments and leadership offices.
- Maintain a high level of customer service while representing the mission and values of the school.
Qualifications
- Minimum of 5 years of executive administrative or senior administrative support experience.
- Demonstrated experience supporting senior executives, presidents, or organizational leadership.
- Exceptional calendar management and meeting coordination skills.
- Advanced proficiency in Microsoft Office 365, including Outlook, Teams, Excel, Word, PowerPoint, and SharePoint.
- Excellent written, verbal, and interpersonal communication skills.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Proven ability to exercise independent judgment and maintain confidentiality.
- Experience in educational, nonprofit, or mission-driven organizations preferred.
