The District Data Specialist/Administrative Assistant serves as a key support professional in ensuring the effective use of technology, accurate management of student information systems (SIS), and the completion of required state and federal reporting. This position provides both technical assistance and administrative support, fostering an environment that supports learning, safety, and well-being while building positive relationships with staff, students, parents, and the community.
PERFORMANCE RESPONSIBILITIES:
A. Data Management & Reporting
- Manage, prepare, and submit required state and federal reports (e.g., NJSLEDS, NJDOE, Civil Rights).
- Directly responsible for managing NJSLEDS and the District Student Information System (SIS) to ensure data integrity and retrieval for analysis.
- Provide direct support to the administration in retrieving and analyzing student performance data.
- Monitor, maintain, and update district data within NJSLEDS and associated databases.
- Manage, maintain, and update data uploads for district academic programs and assessments.
- Ensure the confidentiality, integrity, and security of all district data.
B. Technology & Help Desk Support
- Serve as the first point of contact for staff, students, and parents when technology assistance is needed.
- Diagnose and resolve basic technology issues both in person and remotely; escalate complex issues as needed.
- Document technology requests in the district's ticketing system.
- Monitor email, phone, and walk-ins to ensure timely technical support.
- Assist with installation, monitoring, maintenance, and updates of SIS and other district software applications.
- Provide training and technical assistance to staff regarding SIS, databases, and related programs.
- Assist in website updates as requested by the administration.
C. Systems & Account Management
- Create, maintain, and deactivate staff and student accounts (including Google, network, and portal accounts).
- Track technology renewals, licenses, and inventory to ensure appropriate utilization.
- Assist in the collection, distribution, and disposal of district devices for staff and students.
- Track and follow up on technology orders and equipment deliveries.
D. Administrative & Confidential Support
- Supervise and coordinate the efficient workflow of the Assistant Superintendent of Teaching, Learning, and Innovation office, and Business Office.
- Provide administrative assistance, secretarial support, and confidential work as assigned by the Assistant Superintendent of Teaching, Learning, and Innovation, and Business Office.
- Assist in the maintenance of personnel records for certified staff.
- Assist administrators with preparing confidential reports and presentations.
- Perform general office duties including filing, correspondence, appointment scheduling, and supply ordering.
- Communicate regularly with the Assistant Superintendent of Teaching, Learning, and Innovation, and the Business Office regarding reporting timelines and requirements.
- Maintain strong public relations with staff, students, parents, and the school community.
E. Professionalism & Other Duties
- Uphold and enforce school rules, administrative regulations, and Board policies.
- Maintain sensitivity and respect for the diverse backgrounds, characteristics, and beliefs of the school community.
- Perform other duties as assigned by the Superintendent, Assistant Superintendent of Teaching, Learning and Innovation, and/or Business Office.
TERMS OF EMPLOYMENT: 12-months/ Salary Determined by the Board of Education
EVALUATION: Performance of this job will be evaluated annually in accordance with the provisions of the Board's policy on evaluation of noncertified personnel.
Wage or Salary Information
Non-Certified Staff: $50,000 to $60,000
