We are seeking a reliable, detail-oriented Office Associate II to support daily administrative and operational functions in a fast-paced office environment in Augusta, Maine. This is an excellent opportunity for candidates with strong clerical, organizational, and customer service skills who enjoy supporting business operations and maintaining accurate records.
The ideal candidate will be comfortable working independently, managing multiple priorities, and utilizing various office technologies to support agency operations.
Key Responsibilities
Create and maintain spreadsheets, reports, and databases
Enter, update, and verify data with accuracy and attention to detail
Prepare correspondence, reports, forms, vouchers, contracts, and agendas
Organize and maintain both electronic and paper filing systems
Respond to routine inquiries by phone, email, and in person
Route non-routine inquiries to appropriate staff members
Operate office equipment including scanners, copiers, printers, and mailing equipment
Assist with document preparation, formatting, and record management
Support data management and administrative processing activities
Maintain confidentiality of sensitive information and comply with agency policies
Coordinate work assignments and meet established deadlines
Provide occasional guidance and support to team members as needed
Handle and transport office materials and supplies when required
Required Qualifications
Candidates must have training, education, or experience demonstrating:
Knowledge of modern office practices and administrative procedures
Strong written communication skills, including business correspondence
Proficiency with Microsoft Office applications, particularly Excel and Word
Experience with data entry, recordkeeping, and document management
Ability to prioritize work and manage multiple assignments effectively
Strong organizational and time management skills
Ability to work independently and exercise sound judgment within established procedures
Excellent attention to detail and accuracy
Professional customer service and communication skills
Preferred Qualifications
Previous experience in administrative support, clerical, or office operations
Experience creating spreadsheets and managing databases
