Administrative Assistant I
Location: Downtown Los Angeles, CA
Schedule: Hybrid 9/80 schedule, onsite Mondays and Tuesdays; hours may begin as early as 7:00 AM and end at 4:45 PM, with every other Friday off
Position Overview
Our client, a prominent public-sector organization, is seeking an Administrative Assistant I to support its Environmental Program Support Team within a Safety, Security, and Protection group. This entry-level position is ideal for a highly organized professional who thrives in a fast-paced, collaborative environment and can manage multiple time-sensitive assignments with accuracy, professionalism, and sound judgment.
What You'll Be Doing
- Process purchase requisitions, payment releases, and reimbursement requests.
- Assemble reports and supporting documents for mailing, distribution, and internal review.
- Prepare routine reports using established templates and deadlines.
- Create and maintain spreadsheets, tracking logs, databases, and departmental records.
- Prepare letters, reports, and other business documents from drafts or source materials.
- Extract and compile information from multiple sources for periodic and special reports.
- Perform corporate credit card purchases, reconciliations, and related reporting.
- Monitor documentation for completeness and follow up to obtain missing or corrected information.
- Organize, file, retrieve, update, archive, and purge departmental records.
- Order, receive, distribute, and maintain office supplies.
- Respond to routine inquiries and explain established processes and procedures.
- Support staff with administrative and analytical assignments involving competing deadlines.
- Assist with employee timekeeping, including reviewing and verifying entries for accuracy.
- Perform additional administrative duties consistent with the position.
Qualifications and Requirements
Candidates must meet one of the following education and experience combinations:
- High school diploma or GED and at least four years of relevant administrative experience.
- Associate degree from an accredited college or university in a related field and at least two years of relevant administrative experience.
- Bachelor's degree from an accredited college or university in a related field.
Required Skills
- Proficiency in Microsoft Excel and strong working knowledge of Word, PowerPoint, and Outlook.
- Experience preparing reports, spreadsheets, correspondence, and administrative records.
- Ability to prioritize assignments and manage multiple deadlines in a fast-paced environment.
- Strong written, verbal, organizational, and interpersonal communication skills.
- Excellent attention to detail and commitment to accuracy.
- Ability to work independently while contributing effectively within a team.
- Professional, personable, flexible, and able to respond calmly to changing priorities.
- Ability to apply established policies and procedures, identify routine issues, and determine appropriate next steps.
- Local to Southern California and able to meet the required hybrid schedule.
Preferred Qualification
- Experience using Oracle or another purchasing, financial, or procurement software system.
Additional Requirements
- Must be legally authorized to work in the United States without current or future employer sponsorship.
- This temporary assignment is not available to individuals whose current CalPERS membership or retirement status would prevent participation. Eligibility will be evaluated in accordance with applicable requirements.
- A valid California Class C driver's license may be required if driving is necessary during the assignment.
- Employment is contingent upon completion of all applicable pre-employment requirements.
