Function
Under the supervision of the Director of Advanced Academics & Guidance Services, the Senior Administrative Assistant will perform various duties supporting the Office of Advanced Academics & Guidance Services. He/She will be responsible for building and maintaining effective relationships with all internal and external customers served by the Department of Advanced Academics, and will handle confidential information and engage in frequent contact with all levels of district employees, supervisors, outside agencies and the general public.

Responsibilities:
- Prepares correspondence, forms, reports, manuals, and presentations for the Director
- Performs general administrative support duties including receiving visitors, answering the telephone, providing information in accordance with approved procedures, processing invoices, processing purchase requisitions, scheduling appointments and taking messages.
- Processes travel arrangements for the Director, as well as, other district professionals for conferences and trainings related to Advanced Academics
- Composes a variety of correspondence relating to Advanced Academics, including memos, letters, reports, and transmittals, ensuring grammatical and typography accuracy
- Compiles information for review by the Director of Advanced Academics & Guidance Services for various external agency requests
- Proofreads, revises, and edits documents as needed
- Makes appointments, schedules meetings, and assists with calendar management for the Director of Advanced Academics & Guidance Services
- Compiles, maintains and organizes a filing system for all reports, records and documents related to Advanced Academics & Guidance department
- Collaborates on a wide range of assignments, tasks, and projects requiring diverse and complex skills
- Answers and responds to incoming calls from district personnel, as well as, outside sources. Must be able to take reliable messages and route to appropriate staff
- Schedules meetings for department activities including preparing materials, scheduling and setting up facilities, and arranging equipment
- Organizes, makes all arrangements, and prepares materials for meetings
- Performs other job-related duties as assigned by the Director
- Maintains budget reports through the business information system
- Reconciles travel expenditures
- Performs routine bookkeeping tasks and maintains department budget records. Prepares and processes department purchase requisitions and payment authorizations
- Orders and maintains inventory of office supplies and program equipment for the department
- Monitors and processes personnel time records including leave requests and reports and submit in accordance with district procedures
- Assists the Director of Advanced Academics & Guidance Services in the compilation of the budget and capital outlay process
- Reviews and proofreads all out-going correspondence for accuracy
