Position Overview
GTI is seeking an experienced, highly professional Executive Assistant to provide dedicated support to the Chief Operating Officer while also managing day-to-day office administration for the Executive Leadership Team & offices.
This is an elevated executive support role: the Executive Assistant manages the executive office’s administrative operations independently, handling a wide variety of situations, contacts, and requests with sound judgment and strict discretion (including communication with senior internal and external contacts) while keeping the COO and ELT focused on and available for the highest priorities.
The primary emphasis of this role is executive support: calendar management, travel, meeting logistics, correspondence, and follow-through on executive commitments. The secondary emphasis is office administration: maintaining an organized, well-run, and welcoming office environment within a busy & growing work environment.
Key Responsibilities

Manage the COO’s calendar end to end: scheduling, prioritizing, resolving conflicts, and protecting time for critical business priorities

Coordinate domestic and international travel for ELT, including flights, lodging, ground transportation, and detailed itineraries; prepare and submit expense reports

Plan and execute logistics for executive and leadership meetings: agendas, materials, room setup, catering, and technology

Track commitments and action items from executive meetings and coordinate follow-through with the appropriate team members

Coordinates collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data

Screen, prioritize, and route incoming requests, correspondence, and inquiries, using judgment on what requires the executive’s attention and what can be handled directly or redirected

Interact with high-level internal and external contacts with professionalism, tact, and discretion

In the executive’s absence, ensure requests for action or information are relayed promptly to the appropriate staff member

Prepare, format, and proof correspondence, reports, and presentations for executive review

Handle sensitive business and personnel information with strict confidentiality at all times
Required Qualifications

High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred

5+ years of executive assistant experience, including direct support of C-suite or senior executives

Advanced calendar management skills in Microsoft Outlook; strong proficiency across Microsoft Office (Word, Excel, PowerPoint, Teams)

Demonstrated experience coordinating complex travel and managing expense reporting

Exceptional judgment, discretion, and ability to maintain confidentiality on executive-level matters

Strong written and verbal communication skills, with the polish to interact credibly with senior leaders and external partners

Proven ability to anticipate needs, manage conflicting priorities, and work independently in a fast-paced environment

High attention to detail, organization, and professionalism

Experience in a manufacturing or industrial environment

Experience supporting multiple executives simultaneously

Experience with office administration or facilities coordination

Familiarity with video conferencing and meeting technology (Teams, Zoom)
