Job Duties and Preferred Qualifications:
The City of Virginia Beach is seeking an organized, detail oriented Administrative Assistant to provide administrative support for the Flood Protection Plan and related activities. This position will work closely with management, engineering staff, and other City personnel to coordinate meetings, maintain documentation, prepare correspondence, and support the administrative needs of the team.
Will be required to record and/or transcribe meeting minutes involving engineering terminology and
Have the ability to travel to various sites to transcribe meeting minutes
Coordinate and schedule meetings rooms for supervisors as well as other staff via Outlook
Establish and maintain cross-referenced electronic files
Assist with the forwarding and uploading of Freedom of Information Act (FOIA) information
Screen visitors, answer telephone calls from multi-line set and transfer to appropriate parties and perform other duties requiring skills, knowledge and physical requirements as demanded by the duties described
Must provide support to middle managers; format and track RFP documents; prepare Agenda Booklets and process Agenda items as well as Council Packages. Format and edit various correspondence according to the City’s Correspondence Standards
Proficient in completing mail merge via Word and Excel; Sort and distribute mail and have basic knowledge of SharePoint
Operate standard office machinery
Be a self-starter and able to work with minimum supervision
Perform other job duties requiring skills, knowledge and physical requirements as demanded by those duties described, Individual assignments will be determined by the supervisor based on then current workloads and department needs.

Minimum Requirements:
Minimum Qualifications: High school or GED plus three (3) years’ experience in fields providing the required knowledge, skills, and abilities and associated with such positions as clerk typist or office assistant. Passing score on a typing test may be required. Special Requirements: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.Skills:
