Executive Assistant (San Jose, CA)
Job Overview:
This position focuses on providing daily administrative assistance to the senior leadership team, while also supporting employee experience initiatives and on-site coordination.
The ideal candidate is highly organized, collaborative, detail-oriented, and proactive, with strong communication and problem-solving skills and the ability to work independently in a fast-paced, dynamic environment.
This is a Contract role.
What you will be doing as a Executive Assistant …• Provide comprehensive administrative support to the senior leadership team, including calendar management, scheduling conflicts, logistics, and prioritize internal and external meeting requests across multiple time zones.
• Arrange and support executive business travel, including booking flights, lodging, transportation, itinerary management, expense report and submission.
• Handle sensitive and confidential information with the highest level of discretion and professionalism.
• Serve as a trusted administrative partner to leadership, anticipating needs and providing proactive solutions.
• Support facility management needs, including ordering office supplies, coordinating shipping and receiving, assisting visitor registration and onsite logistics.
• Support adhoc administrative tasks and onsite activities, such as employee experience events and All Hands meetings.
• Serve as a point of contact for office-related requests and inquiries.
Skills you ideally bring to the table as a Executive Assistant …
- Availability to work onsite 5 days per week at client office in San Jose, CA.
- 5+ years of prior experience as an Executive Administrator, Executive Assistant, or similar administrative role supporting senior leadership team. • Strong organizational, time management, and multitasking skills.
- Strong problem-solving skills and attention to details.
- Professional demeanor and demonstrated ability to handle confidential and sensitive information with discretion and sound judgment.
- Excellent written and verbal communication skills.
- Ability to work independently, anticipate needs, and thrive in a fast-paced environment.
- Strong proficiency with standard office tools (calendar systems, email, travel booking tools, and expense reporting systems).
- Experience supporting multiple leaders simultaneously is a plus.
