JOB POSTING
POSITION TITLE: Special Education Administrative Assistant
CONTRACT PERIOD: 260 Day Contract
REPORTS TO: Special Education Director
POSITION SUMMARY: Under direction of the Director of Special Education, is responsible for confidential information and records. Serves as information liaison between supervisor, district staff, and the public. Assists with efficient compliance to state mandated special education procedures.
COMPENSATION: TBD
HOURS: 40 hours per week
ESSENTIAL FUNCTIONS:
- Maintain all special education program records in compliance with state and federal guidelines and District policy (ies).
- Maintains current program participation codes in i.e. IStar Student Management System for each special education student.
- Serves as confidential secretary to the Director of Special Education
JOB RESPONSIBILITIES:
- Perform general office duties including answering phones, greeting the public, typing, filing, sorting and handling incoming and outgoing mail.
- Manage special projects as assigned by director.
- Comply with applicable District, state, local and federal laws, rules and regulations.
- Maintenance and reconciliation of out of district student attendance and cost calculation spreadsheet.
- Track and notify Special Education Providers of upcoming Annual and Triennial Re-evaluation IEP due dates.
- Track and report special education referrals throughout the District.
- Track and report special education transition plans throughout the District.
- Assist with the entry of PreK/EC students in the SIS program.
- Enter/Update demographics in EmbraceIEP. Assist staff as needed.
- Process student reimbursement claims for out of district placements. Process monthly room and board claims and assist with orphanage/excess cost claims.
- Perform additional duties and responsibilities as assigned by Special Education Director or the Superintendent.
- Order supplies and materials as assigned by the Special Education Director.
Qualifications:
- Working knowledge of basic office procedures and operations of common office equipment.
- Working knowledge of IStar, EmbraceIEP, SIS, and Microsoft Excel
- Special education legal requirements, timelines and procedures.
- Demonstrated aptitude for successful performance of tasks listed.
