Position Summary:
The Executive Assistant & Coordinator serves as a trusted partner to senior leadership, anticipating needs, protecting time, coordinating priorities, connecting people, and ensuring that important work does not get lost in the shuffle. This position brings structure to a fast-moving environment by managing complex calendars, preparing executive materials, tracking commitments across departments, and providing dedicated support to the Board of Directors and the Chairperson of the Board. The role requires an exceptionally organized, proactive, and resourceful professional who is comfortable working with senior leaders, exercises sound judgment and discretion with confidential information, and is energized by figuring things out. Success is measured by leaders having more capacity, better organization, and fewer commitments falling through the cracks.
Position Qualifications:
Required
Three or more years of experience in executive assistance, administrative coordination, project coordination, or a similar role.
Demonstrated experience managing competing priorities and working with multiple stakeholders.
Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
Excellent written and verbal communication skills, with the ability to produce polished, executive-ready materials.
High level of discretion, professionalism, and sound judgment in handling confidential and sensitive information.
High school diploma or equivalent.
Preferred
Associate or bachelor's degree.
Experience supporting senior or executive leadership.
Experience in healthcare, a regulated industry, or a complex multi-entity organization.
Experience supporting a Board of Directors, including meeting materials, minutes, and board portal administration.
Experience coordinating projects or organizational initiatives.
