We are looking for an experienced Administrative Assistant to join our Customer Support team and work closely with patients, healthcare providers, and internal teams.
In this role, you will support existing patients and manage cases related to appointments, prescriptions, and provider communication. You will coordinate multiple parties, ensure data accuracy, and drive each case to resolution.
This is a hands-on, communication-heavy role for someone who is comfortable working in a high-volume environment, enjoys solving complex situations, and can maintain a high level of empathy and clarity when working with patients.
Working Schedule
- Full-time schedule: 5 days per week, 8-hour shifts.
- Evening schedule in Europe, aligned with US time zones (11:00 - 20:00 ET).
- Weekend shifts may be included, with days off during the week.
- Handle incoming and outgoing patient communications, primarily via phone.
- Resolve appointment, prescription, and support-related requests.
- Coordinate with healthcare providers, pharmacies, and internal teams.
- Manage patient cases end-to-end and keep patients informed throughout the process.
- Maintain accurate documentation in CRM and EMR systems.
- Complete daily operational tasks within defined timelines.
- Escalate complex or sensitive cases when necessary and ensure appropriate follow-up.
- Maintain a high standard of communication, empathy, and professionalism in every patient interaction.
- 2+ years of recent, hands-on experience in online Customer Support, with Customer Support being your current or most recent role.
- Previous experience working remotely in Customer Support.
- Proven experience handling inbound and outbound calls in English.
- Experience working in a high-volume customer-facing environment.
- Experience handling complex, sensitive, or escalated customer cases.
- Healthcare background through education, ongoing medical studies, or hands-on experience working with medical institutions.
- Experience working with CRM systems and strong attention to detail and data accuracy.
- Fluent English, both spoken and written.
- Strong communication skills with empathy and clarity.
- Ability to stay calm, professional, and solution-oriented in challenging situations.
- Strong organizational and prioritization skills.
- High level of responsibility, ownership, and attention to detail.
- Ability to adapt to evolving processes and workflows.
- Availability to work 11:00 AM - 8:00 PM ET.
- Availability for a 5-day workweek, including weekend shifts when required.
- Reliable high-speed internet and a proper home office setup suitable for phone-based support.
- Ability to work under a B2B contract from a European Union country.
Preferred
- Experience in healthcare, telehealth, or medical administration.
- Experience working directly with patients, healthcare providers, or pharmacies.
- Familiarity with prescription workflows.
- Experience with EMR or healthcare management systems.
- Experience in a US healthcare environment.
