Function
Perform various secretarial duties using good judgment in exercising those procedures. Primary duties include supporting the Facilities and Operations Department by maintaining reports, and preparing and disseminating various communications relating to the Maintenance departments. Entering required work orders, and accepting/assigning requests in The Maintenance Authority (T.M.A.) system. Maintains detailed files and records pertaining to maintenance and projects. Receives logs, disseminates documents and performs data entry. Work carefully and tactfully with administrators, principals and coworkers.

Director of Facilities and Operations
Responsibilities:
- Answer multiple line telephone and route information to appropriate staff.
- Receives and creates all work order request s submitted through the TMA iService System for all district facilities
- Uses computer applications such as word-processing and spreadsheets for maintaining various Facilities & Operations records
- Reviews all incoming work order request s and disseminates priority requests by email to the appropriate staff.
- Enters and processes all requisition s and invoices for materials/supplies purchased and all contracted services performed
- Provide work order reports, PO report s and invoice status reports on a regular basis to administrators and foremen as needed
- Post all material costs and contracted cost to work orders
- Generate all PM work orders monthly, bi-monthly and/or annually
- Keep records on contracted projects and in-house work
- Communicate with principals, central office staff other district personnel regarding work order requests and other Maintenance related issues
- Distribute district facility keys to outside contractors, vendors and/or district personnel and maintain a record of such
- Performs other job-related duties as assigned by the Director of Facilities & Operations

- Multiple task environment; challenging situations; prolonged hours at computer and/or telephone; light lifting.
- Ability to receive information and/or instruction from internal/external customers through spoken expression.

- Ability to convey information and/or instruction to internal/external customers through spoken expression.
- Ability to perform work while standing and/or walking for extended periods, up to eight (8) hour s a day.
- Ability to see detailed information, naturally or with correction.
- Limited in-District travel.
