Position: Executive Assistant
Location: On-site - Fort Lauderdale, FL
THE ROLE:
IGEL is seeking an experienced Executive Assistant based in our Fort Lauderdale office, working on-site Monday through Thursday. Reporting directly to the CEO, this highly visible role will provide proactive, white-glove executive support primarily to the CEO.
The ideal candidate is highly organized, proactive, resourceful, and comfortable operating in a fast-paced, global environment. They will anticipate needs, manage competing priorities, and exercise exceptional judgment and discretion.
IGEL has a dedicated Office Manager responsible for the day-to-day management of the Fort Lauderdale office. The Executive Assistant will partner closely with the Office Manager when executive activities intersect with meetings, events, customers, partners, and visitors, but will have minimal office management responsibilities.
Requirements- Manage the CEO’s complex calendar, strategically prioritizing commitments and coordinating across multiple time zones.
- Provide executive and administrative support to the CEO and additional members of the Executive Leadership Team if required and as designated by the CEO.
- Coordinate complex domestic and international travel, including transportation, accommodations, itineraries, and related logistics.
- Prepare, reconcile, and submit travel and other business expenses for the CEO and supported executives (if designated), ensuring timely and accurate submission in accordance with company policies.
- Coordinate ELT meetings, leadership off-sites, board-related activities, and other strategic meetings, including agendas, briefing materials, logistics, and follow-up.
- Partner with the Fort Lauderdale Office Manager on the on-site execution of executive meetings, leadership events, and customer and partner visits.
- Prepare presentations, briefing materials, agendas, meeting notes, and other executive communications for board, leadership, all-hands, and other key meetings.
- Serve as a trusted liaison among executives, employees, board members, customers, partners, and other global stakeholders.
- Handle highly confidential and sensitive information with discretion, integrity, and sound judgment.
- Continuously improve executive administrative processes and ways of working.
- Travel domestically and internationally as required to support executive meetings and events
