Middle School Secretary to the Assistant Principal

Job Summary: Provides administrative support for the Middle School Assistant Principal.
Essential Duties and Responsibilities:
- Greets and assists the general public, parents, teachers, and students. Answers the multi-line phone system; directs calls and delivers messages to the proper person/location. Answers general questions and furnishes information to assist the assistant principal. Routes or answers routine correspondence not requiring the assistant principal’s attention.
- Assists in maintaining student and building safety by monitoring building doors/entry.
- Records daily student attendance, tracks absences, and generates attendance letters. Submits weekly illness reports to the local health department. Communicates with school counselors, SRO, and KRESA’s truancy team when necessary and assists twice yearly with state pupil accounting (Count Day).
- Monitors the discipline program and record keeping under the direction of the Assistant Principal and generates reports both monthly and by marking period.
- Assists with the coordination of school safety, fire, and disaster drills and reports scheduled safety drills (Muterix).
- Assists with the coordination of building events (Picture day, school parties, 8th grade trip, 5th grade welcome night, student award ceremonies, staff social events, etc.)
- Maintains building professional development hours in district software.
- Assists Athletic Coordinator with secretarial duties, prepares and distributes academic eligibility reports and sports rosters, keeps records of student sports physicals, posts and distributes sports schedules, and prepares certificates.
- Organizes the assignment of student lockers.
- Performs additional school-related duties as assigned by the principal or assistant principal.
- Regular and consistent attendance.
- Must have knowledge of and comply with the policies and procedures contained in the Portage Public Schools Employee Handbook.
Qualifications
- High School diploma, GED, or equivalent.
- One year of prior office experience.
- Proficient in Google Workspace, computer, and documentation skills.
- Mathematical skills, including addition, subtraction, multiplication, and division.
- Ability to maintain a high level of confidentiality.
- Ability to define problems, collect, organize, and report data.
- Ability to operate office machines such as a computer, copier, and fax machine.
- Ability to perform duties with awareness of all district requirements and Board Policies.
- Ability to respond to complex questions and refer unusual problems to higher levels.
- Ability to analyze facts and draw valid conclusions.
