Full-Time Administrative Assistant -Spring Arbor of Wilmington
The Administrative Assistant performs receptionist and diverse business office duties that are technical and detailed. In performing these duties, the Administrative Assistant is the first point of contact for anyone coming to the Community.
Areas of Responsibility
Operate community telephone and paging systems efficiently and transmit calls and messages promptly and accurately
Greet and direct visitors in a professional, friendly and hospitable manner
Ensure residents and guests sign in and out of the house
Answer inquiries according to established procedures relative to HIPAA guidelines
Handle inquires in a positive manner and obtain necessary information for follow-up
Notify the Supervisor In Charge (SIC) of bell calls in a timely manner
Assist in ordering, receiving, stocking, and distributing office supplies
Enter requests for transportation to medical appointments in transportation schedule
Process invoices accurately and on time using Yardi Software
Assist with organizing resident and employee files
Responsible with setting up and updating the lobby television with community information, announcements, activities and other relevant content
Assist managers with expense reimbursements by collecting, organizing, and submitting American Express receipts and supporting documentation
Must be comfortable using computers and various office software and systems.
Process incoming and outgoing mail and operate postage equipment.
Provide general administrative support to department managers and leadership as needed.
Provide tours of the community to prospective residents and families, highlighting amenities, services, and community features in a welcoming and professional manner
Required Qualifications
Must be a minimum of 18 years of age.
Minimum one (1) year experience as receptionist in a professional business environment.
Must have working knowledge of appropriate Microsoft Office programs.
Must have working knowledge of office equipment such as copy machine, calculator, and multi-line telephone system.
Must have positive Criminal Background Screening.
