St. Monica School is seeking a full-time Office Manager to serve as a central member of our school operations team. The Office Manager helps ensure that the daily business of the school runs smoothly, efficiently, and with a spirit of hospitality.
As one of the first points of contact for students, families, staff, and visitors, the Office Manager plays an important role in creating a welcoming and professional school environment. The successful candidate will be organized, dependable, personable, resourceful, and able to manage multiple priorities while maintaining a calm and positive presence.
Position Responsibilities
School Office Operations
•Manage the day-to-day operations of the school office.
•Serve as a welcoming and professional first point of contact for students, families, staff, visitors, and community members.
•Answer and direct phone calls, emails, and other inquiries in a timely and professional manner.
•Welcome visitors and help ensure appropriate visitor procedures are followed.
•Maintain an organized, efficient, and welcoming front office environment.
•Maintain office supplies and place orders as needed.
•Assist with calendars, meetings, appointments, and other administrative tasks.
•Maintain accurate records and files while protecting confidential information.
•Assist administrators and staff with special projects and school-wide needs.
Student Support & Attendance
•Maintain accurate daily student attendance records.
•Monitor student arrivals, late arrivals, early dismissals, and absences.
•Communicate with families regarding attendance and dismissal procedures as appropriate.
•Assist students who visit the office during the school day.
•Perform other duties as assigned by school administration.
Qualifications
The successful candidate will:
•Have a high school diploma or equivalent; an associate or bachelor's degree is preferred.
•Have experience in office administration, school administration, customer service, or a related field.
•Demonstrate excellent organizational and time-management skills.
•Possess strong written and verbal communication skills.
•Be proficient with common office technology, email, calendars, spreadsheets, and databases.
•Be dependable, professional, approachable, and able to work independently.
•Exercise excellent judgment and maintain confidentiality when handling sensitive information.
•Support the mission and values of Catholic education and be willing to participate in the faith life of the school.
Preferred Qualifications
•Previous experience working in a school, parish, nonprofit, or other mission-driven organization.
•Experience with student information systems or school management software.
•Experience with attendance, enrollment, registration, or student records.
•Experience handling basic bookkeeping, purchasing, or financial office tasks.
•Familiarity with Catholic school or parish operations.
Compensation & Benefits
The Salary range for this position is $25.00-$35.00 hourly. Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, degrees, and certifications.
