ANNOUNCEMENT OF VACANCY
POSITION: Building Administrative Assistant - Class I
McCormick Elementary School
8:00 am � 4:00 pm (7.5 hrs. per day � 208 days per year)
REPORTS TO: Building Principal
JOB FUNCTION: To serve as an administrative assistant to the principal and implement the details and duties designed to carry out the goals, objectives, and programs of the building to which assigned.
QUALIFICATIONS:
- Possess a High School Diploma.
- Demonstrate proficiency in the use of Microsoft Products and other office equipment or software/ Proficiency on the district administered test.
REQUIREMENTS:
- Ability to promote a positive and professional image of the school and the school district.
- Ability to learn and effectively use the District's students' information software and any other software package to be used in this position.
- Thorough knowledge of modern office practices, procedures, and equipment, i.e., computer, printer, copier, facsimile machine.
- Thorough knowledge of English, spelling, punctuation, and arithmetic.
- Ability to exercise independent judgment following established procedures.
- Ability to effectively use the features of the telephone system and voice mail.
- Ability to effectively establish and maintain an attendance filing system.
- Fundamental knowledge of basic bookkeeping, accounting procedures and methods.
- Prepare, reproduce, and make appropriate distribution of all correspondence including memoranda, reports, letters, recommendations, notices, orders, teacher observations, requests, schedules, agenda, school calendar, programs, etc.
- Ability to maintain complex clerical records, prepare and complete accurate reports.
- Participate in, provide input for, and attend training for building safety committee work.
- Perform other duties as normally attributed to the position as directed by the Building Principal.
RESPONSIBILITIES:
- Establish and coordinate the efficient operation of the office.
- Attend trainings and maintain proficiency in various District provided technology/software designed to enhance communication, grading, attendance, safety and security, etc. as new technology is adopted by the district.
- Upload information to the building website and keep it current.
- Exercise good judgment and tact when receiving visitors, staff members, and telephone calls communicating information relative to the operation of the school. Screen unexpected callers/visitors in accordance with predetermined policy and maintain a log.
- Use District provided technology/software to communicate with families at the direction of the principal.
- Complete attendance procedures on District provided technology/software and verify absences for all staff
- Organize the flow of correspondence and other pertinent data; establish and maintain a filing system that provides for the efficient operation of the school and confidentiality.
- Maintain such student records as directed.
- Prepare necessary informational materials for substitute teachers. Receive day-to-day substitute teachers and inform them of assignments.
- Prepare material requisitions for ordering and maintaining supplies and inventories.
- Coordinate facilities usage from applications, to calendar, to notification of custodial staff.
- To support state and other testing that occurs by printing rosters, labeling, preparing sign-in/out sheets and helping with inventory checks.
- Support substitutes and help ensures that coverage is provided if a position fails to fill.
- Maintain inventory of curriculum and other materials.
- Perform other duties as normally attributed to the position as directed by the building principal.
- Additional duties may vary from building to building and by grade levels served.
TERM OF EMPLOYMENT: 208 days; Hourly wage per contract.
EVALUATION: Performance of this job will be evaluated in accordance with the provision of the School district's evaluation system of support service personnel.
