Job Summary: Administrative Assistant provides comprehensive administrative and operational support to assigned departments. The position performs a variety of administrative, coordination, and customer service functions that contribute to the efficient operation of the organization. Responsibilities include scheduling, correspondence, document management, data entry, record maintenance, new hire system access, coordination with external JV partners for system access and general office support. The Administrative Assistant serves as a resource to internal and external stakeholders while maintaining confidentiality and delivering excellent customer service.
Essential Duties/Responsibilities:
(65%) Administrative Applications Support
Primary liaison between Joint Venture (JV) partners and Charlotte Radiology for system access
Responsible for all new hire and termination account set up in external JV partners system/portals
Maintain logs on access and ensure these are kept up to date
Handles trouble shooting of all clinical application access issues
Manages all new hire badge orders, tracking and delivery
Responsible for delivery of internal/external system log-in credentials to training team in coordination with orientation preparations
Coordinates all communication regarding JV IT access process changes that affect Charlotte Radiology employees to Leadership, HR, other applicable departments
Support other special projects and ad-hoc reporting
(25%) Administrative Operational Support
Responsible for reviewing and maintaining expense reimbursement reports and ensure expense coding is correct; inclusive of CME allotment tracking (days & money)
Communicate between providers if corrections are needed
Order dosimetry badges for new hires, including fetal badges for teammates who have declared pregnancy
Coordinate quarterly distribution of radiation badges to all staff
Coordinates operational duties related to New Hire training materials and conference room reservations
Coordinates clinical application access during new hire orientation
(10%) Performs other duties as assigned
Qualifications:
1+ years of clinical systems (healthcare) or administrative/operational experience required
Excellent computer skills
Ability to multi-task
Attention to detail
EPIC EMR experience preferred
Associate’s degree in relevant field required; Business, Administration, or Computer Systems preferred
Knowledge and adherence to HIPAA and safety guidelines
Skill in organizing and prioritizing work and following assignments through to completion
Skill in written and verbal communication
Ability to always maintain confidentiality and discretion
Ability to work independently and in a team environment
Ability to effectively handle details with accuracy
