We are seeking a highly organized and proactive administrative assistant to support our Executive Assistant to the Global Head of Investment Banking. This role will work closely with the lead Executive Assistant to help manage the day-to-day administrative responsibilities.
This position requires strong attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide administrative support to the Global Head of Investment banking in partnership with the lead Executive Assistant
- Assist with complex calendar management, including scheduling internal and external meetings across multiple time zones
- Coordinate internal meetings, client meetings, and team meetings
- Assist with travel arrangements including flights, hotels, and ground transportation
- Support the preparation and submission of travel and expense reports in accordance with firm policies
- Help manage meetings logistics including conference room bookings, materials, and coordination with internal teams
- Assist with various projects and administrative tasks for lead Executive Assistant
- Maintain a high level of confidentiality and professionalism
- Serve as a backup resource for administrative coverage when needed
- Provide general administrative support to ensure efficient day-to-day operations
Qualifications
- 3-5 years of administrative experience, preferably within financial services or a fast-paced corporate environment
- Strong organizational and time management skills with the ability to prioritize effectively
- Excellent written and verbal communication skills
- High level of discretion and professionalism when handling sensitive information
- Ability to work collaboratively with the lead Executive Assistant
Salary Range of $80,000-$100,000.
