The Sr. Administrative Assistant-Sales Managers position contributes directly to sales effectiveness by enabling Sales Managers to focus on strategic initiatives, field engagement, business growth, and organizational goals while ensuring administrative, operational, and communication activities are executed efficiently and professionally.

We are looking for someone to:
Provides administrative and operational support to Sales Managers and Home Office Sales Leadership.
Serves as a resource regarding departmental policies, procedures, systems, and processes for associates and business partners.
Organizes, prepares, and maintains reports, presentations, correspondence, spreadsheets, dashboards, and other business documents utilizing various office technologies and software applications.
Coordinates recurring and ad hoc sales reports, ensuring information is accurate and distributed in a timely manner.
Maintains calendars for Sales Managers, schedules meetings, and coordinates meeting logistics, agendas, materials, and follow-up activities.
Coordinates travel arrangements and prepares expense reports in accordance with company policies.
Facilitates communication between Sales Management, field leadership, agents, Home Office departments, and external business partners.
Screens telephone calls, emails, correspondence, and meeting requests, responding independently when appropriate and escalating matters as needed.
Composes and prepares correspondence, communications, meeting summaries, and presentation materials from general direction.
Organizes and maintains files, records, meeting notes, project documentation, and other departmental information.
Tracks action items, projects, and strategic initiatives to ensure timely completion and follow-up.
Assists with planning and coordination of sales meetings, leadership meetings, training events, conferences, recognition programs, and special events.
Supports the preparation and distribution of sales communications, announcements, newsletters, and departmental updates.
Coordinates workflow between Sales Management and internal departments to ensure timely processing of requests, reports, approvals, and initiatives.
Maintains confidentiality of sensitive business information and exercises sound judgment in handling matters of importance.
Identifies opportunities to improve administrative processes, communication flow, and team efficiency.
Provides support for special projects and other duties as assigned.
We need someone who has:
High school diploma or equivalent experience required.
Excellent organizational, planning, and time-management skills.
Strong verbal and written communication skills with the ability to interact professionally at all organizational levels.
Advanced proficiency with Microsoft Office applications including Co-Pilot and various AI applications, Outlook, Word, Excel, PowerPoint, and Teams.
Strong analytical and reporting support skills.
Ability to prioritize multiple assignments and meet deadlines with minimal supervision.
Demonstrated attention to detail and commitment to accuracy.
Ability to handle confidential information with discretion and professionalism.
Strong customer service mindset and collaborative approach to supporting internal stakeholders.
Ability to adapt to changing priorities and work effectively in a dynamic sales environment.

We are looking for someone to: Intake, review and/or respond to general inquiries on a wide variety of issues to the Legal Department from management, home office and sales associates, outside counsel, customers and state and federal regulatory agencies. Provide day-to-day operational support to the Legal team. Lead/manage Legal projects including, but not limited to revising or creating forms and managing implementation; manage the annual corporate annual conflict of interest survey, CEO assessment and Board of Director self-assessment, analyze results and prepare summary and/or report to senior leadership. Maintain documentation and track projects to ensure deadlines are met and goals achieved. Prepare, draft and/or compose correspondence including letters, memorandums, emails, various legal and corporate documents, corporate resolutions and certificates, reports, and certificates of disclosure. Compose such items independently, or as directed by an attorney. Independently review and approve routine legal documents in accordance with statutory requirements and WoodmenLife guidelines, including powers of attorney, guardianship, and estate documentation in relation to insurance transactions and provide guidance as appropriate. Responsible for preparing accurate agendas and minutes for various internal committees chaired by the General Counsel, Deputy General Counsel, COO/Privacy Official Prepare, maintain, and archive Official Records for WoodmenLife and any of WoodmenLife’s subsidiaries and/or affiliates according to set procedures. Responsible for calendar management of General Counsel and others in Legal Dept. as needed. Responsible for preparation and tracking of expense reports and receipts; ensuring budget coordination and expense tracking. Review, approve and submit for payment invoices, including those from outside counsel, regulators, and vendors. Partners with division administrative assistants to coordinate calendars, plan joint events, and manage information and communication. Regularly monitor and audit various databases maintained by the Legal Division to ensure information is accurate and up to date. Lead or assist with the implementation and training of new technology. Responsible for making Lead or and coordinating travel arrangements when necessary. Provide back up support for other Legal Division support staff as needed. We need someone who has: Minimum Qualifications: Minimum two (2) years of experience in a corporate legal or law office setting, insurance compliance setting or as an executive administrative assistant. Proficient use of legal software/technology and MS Office products. Ability to provide strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and ability to meet deadlines. Ability to take and record committee meeting minutes Knowledge of legal and insurance language. Agree to take LOMAs 280, 290 and 311 with 18 months of hire if no prior insurance industry background. Strong attention to detail and analytical skills, ability to problem solve, take initiative, and work independently Strong professional interpersonal, verbal and written communication skills Proven success working with and maintaining strict confidentiality of sensitive information; demonstrated high level of integrity.
