Sr. Administrative Assistant, Kohler

Opportunity
Provides highly confidential administrative, operational,
and organizational support to the Director of Kohler Waters Spas and the
Wellness leadership team. Serves as a strategic business partner responsible
for coordinating administrative functions, supporting operational processes,
managing payroll activities, maintaining business systems, and ensuring
efficient execution of department initiatives across all Kohler Waters Spa and
Wellness locations.
This position requires exceptional organizational skills,
technical proficiency, sound judgment, attention to detail, and the ability to
manage multiple priorities in a fast-paced luxury hospitality and wellness
environment.
Specific Responsibilities:
Executive & Administrative Support
- Provide
administrative support to the Director of Kohler Waters Spas and Wellness
leadership team.
- Manage
calendars, meetings, travel arrangements, correspondence, and departmental
communications.
- Prepare
reports, presentations, meeting materials, agendas, and follow-up
documentation.
- Handle
confidential business information with the highest level of discretion.
- Coordinate
department events, leadership meetings, recognition programs, and business
initiatives.
Technology & Business Systems Support
- Utilize
and promote AI tools and technology solutions to improve efficiency and
productivity.
- Serve
as a resource for Microsoft Office applications and department technology
systems.
- Process
orders and procure supplies through EPro, CCI, purchase orders, and
related purchasing systems.
- Maintain
departmental records, files, and reporting systems.
- Support
operational and administrative technology initiatives as assigned.
Payroll & Associate Administration
- Process
and administer payroll activities for therapists and guest service
associates across all four Kohler Waters Spas and Wellness locations.
- Maintain
payroll records and ensure accuracy of data submissions.
- Partner
with management and Human Resources to support employee-related
administrative needs.
- Support
onboarding, training coordination, and associate communication efforts.
Operations Support
- Serve
as Manager on Duty (MOD) as assigned.
- Support
daily spa operations by coordinating administrative and operational
processes.
- Assist
leadership in monitoring operational priorities, departmental initiatives,
and business objectives.
- Coordinate
cross-functional communication among spa locations and support
departments.
- Support
continuous improvement initiatives and process enhancements.
Resort Suite & Revenue Systems Administration
- Maintain
knowledge and administration of Resort Suite systems.
- Qualify
therapists within Resort Suite and ensure appropriate therapist level
assignments.
- Review
and correct therapist commission calculations based on assigned service
levels and business requirements.
- Assist
with system maintenance, troubleshooting, and process documentation.
Financial & Purchasing Support
- Create
and process purchase orders.
- Update
Monthly Financial PP slides for the Monthly financial review meeting.
- Track
departmental expenses and assist with budget-related reporting.
- Coordinate
vendor communication and purchasing activities.
- Ensure
accurate recordkeeping of purchases and approvals.
This is a full-time position working weekends and weekdays. Hours 8:00 am - 5:00 pm.
Skills/Requirements
Education
- Minimum
of High School Diploma.
- Equivalent
combination of education and experience considered.
Experience
- 3–5
years of progressively responsible administrative support experience.
- Experience
supporting senior leaders preferred.
- Experience
in hospitality, wellness, retail, or service operations preferred.
- Payroll
processing experience strongly preferred.
- Experience
with business systems, reporting tools, and purchasing platforms
preferred.
Knowledge, Skills & Abilities
- Advanced
proficiency with Microsoft Office Suite.
- Ability
to learn and effectively utilize AI tools and emerging technologies.
- Strong
organizational, planning, and project coordination skills.
- Excellent

The hourly range for this position is $25.80 - $38.70. The specific hourly rate offered to a candidate may be influenced by a variety of factors including candidate's education and work location.
