DescriptionReporting to the Director of Campus Safety, the Administrative Assistant oversees the efficient operation and participates in the daily activities of the Campus Safety Office.
Responsibilities- Provide administrative, operational and departmental support.
- Assist with coordinating events and/or meetings including scheduling, securing locations/event spaces, arranging catering, working with vendors and presenters, identifying audio-visual needs, coordinating travel (accommodations, dining reservations, etc.)
- Assists in various marketing efforts including, but not limited to, creating and distribution of promotional materials for events such as brochures and flyers.
- Oversee a staff of student employees and manage student staff payroll.
- Maintain Daily Crime Log in accordance with federal guidelines
- Manage billing of parking registrations and citations.
- Orders necessary office supplies and materials for department/area, meetings, and events. Works with vendors on invoicing and purchase orders. Liaises with appropriate parties to service office equipment and troubleshoot issues.
- Respond to questions from staff, students, faculty and visitors.
- Perform other related duties as assigned and based on departmental need.
Qualifications- High School Diploma or GED
- Associate's degree, preferred
- 1-3 years of work experience working with Oracle or other payroll systems.
- Able to pass a background check
- Experience/commitment to working with and supporting diverse communities
- Familiarity with OSHA, FMLA and military leave procedures
- Possess strong critical thinking skills
- Familiarity with Adobe, Microsoft Word, Excel, Teams, Zoom, report writing software such as Omnigo
- Familiarity with accounts payable invoice processing procedures
- Familiarity with Cleary Act, Title IX, FERPA
- Ability to handle sensitive information with professionalism, discretion and compassion
- Ability to work effectively and collaboratively as a member of a diverse team
- Display sensitivity to the unique role that security plays in a college setting
- Effective oral and written communication, organizational, and problem-solving skills
- Meticulous attention to detail
- Reliable and able to work independently under established guidelines
- Previous higher education experience is a plus
- Ability to maintain confidentiality
