REQUIREMENTS:
- Fingerprint/background screening required
- High School Diploma or equivalent with some courses related to accounting or business
- Two years of secretarial experience including some accounting in a public education setting preferred

JOB DESCRIPTION: The following statements of essential functions and responsibilities are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be an exhaustive list of all duties and responsibilities required of all personnel within this position. Actual duties and responsibilities may vary depending on building assignment and other factors determined with supervisor and/or building principal.
DUTIES AND RESPONSIBILITIES:
- Applies appropriate charges for fees, due, and athletic activity fees, in the district database. Collects all monies for all activity accounts. Prepares gate boxes for events. Collects Referee Verification Forms and maintains Ref Pay. Prepares and makes deposits.
- Provide clerical support for the athletic director as needed, to include answering phone and taking messages, typing and mailings. Answer and resolve questions from students pertaining to fees, athletic paperwork, scheduling, and events.
- Support the Athletic Director with new athlete processing in gathering and preparing athlete paperwork for each sport season.
- Serves as an assistant to the administrative staff. Preparing letters, copying, etc. as needed.
- Assist the Athletic Director in maintaining athlete records by requesting, filing, and sorting records or
accurate "lettering and participation" records. - Provide support for scheduling athletic appointments with students by receiving requests from athletes for the Athletic Director when they are ready to be seen. Scheduling appointments for parents.
- Coordinates event workers for athletic events and collects time sheets from each.
- Prepares and coordinates available building space and facility usage and forms.
- Communicates with other schools' Athletic Directors and secretaries, officials, event workers, transportation and coaches/sponsors.
- Receives transportation requests and inputs requests with transportation.
- Verifies officials, games times and locations weekly.
- Event planning (Assemblies, Athletic Awards, Academic Awards, Athletic meetings).
- Manage locker rooms (Manage database, master lock database, check out lockers, communicate with coaches, communicate with B&G, clean and organize as needed).
- Work with Communication Specialist to market events
- Keep master documents updated and revised
- Order supplies as needed
- Post notices and announcements as needed
- Covers front office and medication administration during lunch.
- Performs other duties as assigned.
WORKING CONDITIONS:
- Work primarily takes place in a school setting, with occasional off-site meetings, trainings, or events.
TERMS OF EMPLOYMENT: 210 day calendar
