Construction Administrative Assistant

Position Summary
We are seeking a dependable, detail-oriented Administrative Assistant to support our office management and contracts team within a busy construction environment. This position serves as a shared resource between the Office Manager and Contracts Manager, assisting with a variety of administrative, accounting, and project support functions to help keep daily operations running smoothly.
The ideal candidate is organized, computer proficient, and comfortable managing multiple priorities. Construction industry experience is preferred but not required for someone with strong administrative skills and the ability to learn quickly.
Key Responsibilities
Process and organize incoming invoices.
Match invoices to purchase orders and supporting documentation.
Assist with general accounts payable administrative tasks.
Support the Contracts Manager by preparing and organizing contract-related forms and documentation.
Gather, organize, and maintain payroll information, including timesheets and supporting documents.
Perform general office and clerical duties as needed.
Maintain accurate electronic and paper records.
Communicate professionally with vendors, subcontractors, and internal staff.
Provide administrative support wherever needed within the office.
Qualifications
Previous administrative or clerical experience required.
Strong computer skills and proficiency with Microsoft Office.
Excellent organizational skills and attention to detail.
Ability to manage multiple tasks and changing priorities.
Strong written and verbal communication skills.
Construction office experience preferred.
Experience with certified payroll, purchase orders, invoicing, or construction documentation is a plus but not required.

Full-time
Monday through Friday
7:30 a.m. - 4:30 p.m.
