To provide clerical/administrative services and support for Organization and all Departments within, while maintaining the desired standard of professionalism, efficiency and quality work to carry out the responsibilities of each area. To perform the clerical and administrative work of Divisions as assigned.
MAJOR RESPONSIBILITIES AND AUTHORITY
Administer assigned Organization Division programs, including day-to-day administrative coordination and record management for scholarship and grant programs.
Maintain accurate program records, applications, participant data, and supporting documentation in accordance with record retention and confidentiality standards.
Provide administrative and logistical support to department heads to ensure successful execution of division programming.
Assist with scheduling, deadlines, and administrative coordination related to division programming.
Produce and manage all requested correspondence.
Maintain filing systems, answer telephones, take and deliver messages.
Perform all other basic administrative tasks as directed and assigned by the Director of Organization.
Assist on-site as requested with functions and meetings that may be held at the home office or out-of-town, after-hours and on weekends.
Assist with registration, clerical work, food service, hospitality issues, lodging requirements, transportation and document and materials preparation.
Communicate and work effectively and efficiently with personnel in other Divisions, Departments and Affiliated Companies.
Other duties as assigned.
MINIMUM POSITION QUALIFICATIONS
High School diploma or equivalent required: post-secondary education a plus.
Proven administrative or office support experience.
Efficient clerical skills, including but not limited to a working knowledge of personal computers and standard business software, including Microsoft Word, Microsoft Outlook, PowerPoint and Excel, as well as working knowledge of copy machines, and other office equipment.
Experience updating web-based content preferred.
Excellent communication skills, both written and oral.
Strong organizational skills with ability to multitask.
PHYSICAL REQUIREMENTS
Repeated use of PC, telephone and office machines.
Extended periods of sitting and concentrating.
Occasional bending, twisting, crouching, pulling, pushing, and reaching in both office and show environments.
Occasional lifting and moving items weighing up to 30 lbs.
WORKING CONDITIONS
Occasional long, irregular work hours.
Work to be conducted in office environment owned or leased by company.
