Position Summary:
We are seeking a resourceful and proactive Executive Assistant to support our leadership team. This role is office-based at our Miami Beach location and involves a combination of executive administrative tasks, personal errands, and occasional driving. The ideal candidate will be organized, detail-oriented, and comfortable managing a range of responsibilities with discretion.
Responsibilities:
- Provide daily support to the executive team, including managing emails, scheduling meetings, and facilitating internal and external communications.
- Coordinate and oversee property management activities such as tracking work orders, communicating with tenants, and liaising with vendors.
- Handle personal errands for the executive team, including scheduling personal appointments, coordinating travel, and running personal errands.
- Drive to complete occasional tasks, such as posting notices or depositing checks.
- Manage confidential information with professionalism and discretion.
- Prepare and edit reports, presentations, and correspondence.
- Support project management, helping to ensure deadlines are met.
- Conduct research and summarize findings for executive review.
- Communicate effectively between clients, internal teams, and external partners to ensure smooth business operations.
Requirements
- Proven experience as an executive assistant or in a similar role.
- Valid driver’s license with a clean driving record.
- Strong organizational and time-management skills with the ability to multitask and prioritize.
- Excellent communication skills, both written and verbal.
- Proficiency with office software (e.g., Microsoft Office, Google Workspace).
- Strong attention to detail and problem-solving abilities.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work independently and proactively identify areas for improvement.
- Fluency in English is required; Spanish is a plus.
