Under supervision of the Health Services Administrator, assists administration, operations, leadership and others with running our front desk and general administrative functions and needs. Coordinates work with the Heath Center department and other departments as required. As a representative and team member of Health Center department, this position is expected to present oneself in a manner that reflects professionalism and ensures customer satisfaction.
Hours: Full-Time, 9:00 am to 5:00 pm, Monday - Friday
Pay Rate: $18.00 to $21.00 per hour
A day in the life:
- Provide consistent and excellent customer service to all people with whom interactions occur.
- Interacts and collaborates professionally with a diverse range of customers, including older adults, co-workers, individually and as part of a team.
- Take part in team and company meetings.
- Recommend measures to improve methods, performance, and quality of service, and suggests changes in working conditions to increase efficiency.
- Establish or adjust work procedures to meet deadlines.
- Maintains confidentiality of information in conformance with HIPPA regulations
- Answer all incoming phones, pagers, walkie talkie’s, computers/tablets, in a professional manner; locate individuals, take messages if necessary; receive/transmit fax or scanned messages.
- Maintains Contact Lists (Resident Call List).
- Daily Census – Level of Care Change, Apartment Release Receive, sort and distribute incoming mail and packages, prepares outgoing mail and packages.
- Input incident reports into internal and external databases.
- Organize and manages an administrative filing system to maintain federal and state regulations and other required administrative documents.
- Supplies – Ordering, receiving, inventory.
- Scheduling podiatry, dentistry, etc. to come to facility.
- Performs all front desk procedures and administrative duties.
To be successful in this role you would need:
- High school diploma, GED or equivalent
- Prefer three years’ clerical experience or any equivalent combination of training and experience which provides the required skills, knowledge and abilities.
- Computer skills using Microsoft suite and desktop publishing software, faxing, copying and the use of a paper shredder; minimum one year
