For over 125 years, Catholic Charities Brooklyn and Queens has been providing quality social services to the neighborhoods of Brooklyn and Queens and currently offers 160-plus programs and services for children, youth, adults, seniors, and those struggling with mental illness.
Early Childhood Development Centers provide free Head Start services to low-income families at no cost to the children ages 3 to 5 years. The high-quality services are offered in the center-based program settings available for the Brooklyn and Queens Communities.
Through the Montessori approach, the centers ensure children are ready for school by providing a variety of developmentally appropriate activities that promote cognitive, social, emotional, language-literacy, and physical development. The Head Start Program strives to actively engage parents, recognizing family participation throughout the program, as a key to a child’s robust development as well as to offer the learning experiences tailored to the changing needs and abilities of children.
STATEMENT OF THE JOB
Under the direct supervision of the Program Manager/Director, the Secretary-Bookkeeper’s responsibilities include but not limited to prepare petty cash, submit check requests, track budget, on weekly basis prepare bank deposit slips/receipts, disability insurance report, and assists in clerical tasks.
Maintains all records related to petty cash and the allocation of petty cash funds, including the replenishment of petty cash.
Enters and maintains cash receipts and disbursement ledgers; summarizes as requested.
Prepares and submits all requests for payments (check requests) in a timely and efficient manner.
Prepares ACD-1 reports; End- Of- Month reports; disability insurance reports and all related forms/paperwork.
Prepares all paperwork related to health insurance, retirement, and Welfare Fund reports for staff where applicable.
Assists Management in the maintenance, ordering/purchasing and inventory of office supplies and other center-related items or supplies/equipment.
Performs other duties as assigned.
QUALIFICATIONS:
High School Diploma or Equivalent required.
Associate degree or Bachelor’s degree in Business Management, Business Administration, or Accounting preferred.
Minimum of one year of experience as a full charge bookkeeper with proof of fiscal responsibilities.
Bilingual Spanish/English; Russian/English; Chinese/English; Korean/English; English/Creole speaking preferred.
Frequent sitting, standing, walking, talking, hearing, seeing, stooping, kneeling, crouching, & crawling. occasional running.
Able to travel for inter-borough training, meetings, and escorting parents to meetings.
Must be able to occasionally lift and/or move up to 30 pounds.

Provides assistance to clients as they come in and performs lightweight clerical duties to the attending staff. DUTIES AND RESPONSIBILITIES ESSENTIAL FUNCTIONS: Responsible for front desk including phone, scheduling intakes, and distribution of telephone referrals. Enter all staff appointment schedules in reception desk book. Manages MD schedule and contacts all no shows, following up for missed Appointments. Monitor/maintain waiting room. General office duties including but not limited to typing, faxing copying, and filing. Perform clerical duties for staff Psychiatrists such as pulling charts, preparing encounter forms, & making appointment reminder calls to clients. Verifying Medicaid coverage, collection of client fees/maintenance of fee cards & distribution/logging of Metro cards. Maintain updated client roster. General office duties including but not limited to typing, faxing copying, and filing. OTHER DUTIES: Additional duties as needed including but not limited to functions related to implementation of computerized new billing and charting system. Available for other Support functions at the discretion of Clinical Manager and/or Staff Services Coordinator. Will perform other related duties as requested or assigned by agency management. Participates in staff and other program meetings. Special projects for Clinical Manager as needed. Provides office coverage to other CCNS programs as needed. Attends off-site meetings as requested. SPECIFICATIONS FOR EDUCATION/CERTIFICATIONS/LICENSES High School Diploma or GED required. SPECIFICATIONS FOR EXPERIENCE AND TRAINING 3 years Business experience including office clerical, data entry and basic accounting required. Excellent oral & written communication skills. Excellent Computer skills; knowledgeable in Microsoft office. Excellent organizational skills. Ability to prioritize and multitask, offer feedback and constructive criticism. Bilingual/Spanish speaking preferred SPECIFICATIONS FOR PHYSICAL REQUIREMENTS Must be able to occasionally lift and/or move up to 25 pounds. Frequenting walking, sitting, talking or hearing. Occasional standing , stooping, & kneeling. Should be able to operate a computer keyboard, mouse, & office equipment. Ability to read printed materials and computer screens. Ability to work flexible hours, including weekends, evenings according to the needs of program operation.
