Position Purpose
The Administrative Assistant provides comprehensive administrative, financial, and operational support to the Career, Technical, and Agricultural Education (CTAE) Department. This position coordinates office operations, assists with budget and purchasing processes, supports department initiatives and special events, maintains records and communications, and serves as a liaison among district personnel, students, business partners, and post-secondary institutions. The Administrative Assistant exercises sound judgment, maintains confidentiality, demonstrates professionalism, and adapts to changing priorities while providing exceptional customer service.
Essential Functions
- Provides administrative support to the CTAE Department, including teachers, department leadership, counselors, work-based learning personnel, and other district staff.
- Coordinates daily office operations by managing correspondence, scheduling meetings, maintaining calendars, and preparing presentations and reports.
- Processes departmental purchase orders and manages purchasing activities, including ordering, receiving, tracking, and distributing supplies, equipment, and instructional materials.
- Assists with the administration and monitoring of local, state, and federal department budgets by maintaining financial records and supporting budget documentation.
- Maintains accurate records, files, inventories, and departmental documentation in accordance with district, state, and federal requirements.
- Coordinates facility and resource scheduling, including meeting spaces, equipment, and departmental vehicles as assigned.
- Assists in planning, organizing, and supporting departmental meetings, professional learning, advisory board meetings, career events, student recognition programs, and other special events.
- Prepares meeting materials, agendas, minutes, reports, and presentation documents for department leadership and advisory committees.
- Develops, updates, and distributes marketing and informational materials to promote CTAE programs and opportunities.
- Maintains department communication platforms, including websites, social media accounts, digital displays, newsletters, and event calendars.
- Maintains office supply inventories and coordinates procurement of routine office materials.
- Tracks and inventories departmental equipment and assets in accordance with district procedures.
- Coordinates registration, travel documentation, and related coordination for professional development and conferences.
- Assist students, families, school personnel, and post-secondary partners with required documentation and processes related to dual enrollment programs, including maintaining records and monitoring application requirements.
- Maintains student records and enters assessment or program data into district information systems as assigned.
- Serves as a primary point of contact for internal and external stakeholders by providing accurate information and exceptional customer service.
- Collaborate effectively with district departments, business and industry partners, postsecondary institutions, and community organizations to support departmental initiatives.
- Maintains confidentiality of student, employee, and district information in accordance with applicable laws, policies, and procedures.
- Demonstrates professionalism, flexibility, and initiative while responding to changing priorities and departmental needs.
- Performs other duties and responsibilities as assigned by the supervisor.
- Stay current on research-based instructional practices and educational trends.

Additional Duties
