The purpose of this position is to perform a wide variety of complex administrative duties in the Admissions and Guidance Department.
ESSENTIAL FUNCTIONS:

Under the direction of the Director of Admissions & Counseling, oversees the admissions, recruiting and enrollment process. This includes fostering and maintaining positive relationships with middle school counselors and staff, as well as prospective students and parents. Responsible for scheduling and coordinating all admissions-related events, including the Middle School Counselor Breakfast, counselor visits to middle schools, Freshman Accepted Students’ Day and incoming student orientation. Works in conjunction with other school personnel in planning and executing Fall Open House for prospective students and families.
Acts as the primary coordinator of office processes and operations with regard to Admissions, maintaining sensitivity to confidential data and the ability to prioritize and manage multiple responsibilities. Supports and assumes responsibility for the Admissions Department’s clerical needs about all aspects of the application and enrollment process. This includes preparing admissions and enrollment materials and updating relevant forms, verifying residency requirements, processing applications, overseeing the application process, and preparing communications and correspondence regarding admissions decisions. This may also include working in conjunction with the District’s Data Specialist in developing electronic data management systems for all aspects of admissions & enrollment.
Assists staff, students, and parents with inquiries regarding the Admissions Policy and application process. Prepares and submits Community Report to the Superintendent-Director as required. Prepares other reports in Go2CTE and PowerSchool, Excel, and other spreadsheets for the efficient management of student application data and collaboration with middle school personnel. Submits updates of all relevant information on the Admissions page of the school website and collaborates with the Visual Design & Production Coordinator around disseminating admissions information via social media.
Coordinates phone, verbal, and written communication that pertains to the office/supervisor. Maintains a filing system that effectively organizes admissions data and materials. Maintains general levels of support for other secretaries/clerical personnel in assigned areas when there are short-term absences, or persons are away from their desks, as well as during periods of high demand and /or other emergent requests for cooperative support.
Provides support to other Guidance Department personnel as needed. Provide assistance to students, school personnel, community members, and visitors to the Guidance Department.
Any other duties as required.
EDUCATION AND EXPERIENCE:
Minimum of Associate’s Degree in Business or related field, Bachelor’s Degree preferred.
