Location: 8235 Douglas Ave, Suite 1200, Dallas, TX 75225 (On site) | Type: Full Time | Compensation: DOE
The CAR Group is looking for an Executive Assistant to the CEO who operates less like a traditional assistant and more like a strategic partner. This is a high-trust, high-visibility role sitting at the center of how our CEO manages time, information, and decision-making across the enterprise.
We've built this search differently. The person we're looking for isn't just organized and capable, they're exceptionally poised, sharp in a room, and comfortable operating independently at the highest level. If you thrive on autonomy, love solving problems before anyone has to ask, and can stay level-headed no matter what the day throws at you, this role was built for you.
What You'll Own
- Full, delegated control over the CEO's calendar, ensuring every week reflects his true priorities and goals
- All inbound communication, filtering and managing the CEO's inbox so the right things get his attention at the right time
- A single, trusted master task list that keeps every commitment visible and on track
- Travel logistics from start to finish, handled to a standard where the CEO only has to show up
- Key operational and financial data, gathered and presented in a clear, pre-scheduled format to support the CEO's decision-making
- Meeting prep and follow-up, including attending or shadowing meetings on the CEO's behalf and summarizing what matters
- Cross-functional communication between the executive team, operational managers, and outside vendors
- Project management for initiatives the CEO hands off, seeing them through to completion
- The CEO's office environment and workflow, so he can move through his day without friction or surprise
- Clean, well maintained Asana project boards, driving smart use of the CRM to track projects, tasks, and travel logistics
- Evaluation and integration of AI and automation tools alongside the Legal and IT teams to keep the EA/CEO partnership running efficiently
- Personal support and coordination for the CEO, including his personal calendar, occasional family and household logistics, and liaising with outside contacts like YPO members on his behalf
Who You Are
- Extremely professional and well spoken, someone who represents the CEO and the company well in every interaction
- Highly independent and self-directed, you don't need to be managed to perform at a high level
- Driven and motivated, with a genuine appetite for learning and growth
- Logical rather than emotional under pressure, you keep a clear head when priorities shift or things don't go to plan
- Skilled at juggling many moving pieces at once and pivoting quickly without losing quality or composure
- A natural problem solver who brings solutions to the table, not just flags issues
- Discreet, with sound judgment and the ability to handle sensitive and confidential information at all times
- 5-10 years of experience directly supporting a CEO or other C-level executive
- Comfortable working in office five days a week
Work Environment
This is a quiet, focused, and professional office setting. The team is small, senior, and highly task-oriented. This role is best suited for a candidate who is self-motivated, values autonomy, and does not require a highly collaborative or social office environment to thrive.
