Administrative Assistant – Lower School

Roeper is currently recruiting for an Administrative Assistant for our Lower School.
Position Summary
The Administrative Assistant supports the Lower School Director and is responsible for ensuring the completion of all day-to-day administrative and clerical tasks related to the Lower School. Support of the Lower School Director and the Lower School involves implementing and monitoring a wide range of administrative and operational systems, procedures, policies, and projects.
Key Responsibilities
Supporting the Lower School Director
- Establish and execute ongoing schedule to support Director and program
- Pro-actively anticipate actions necessary to help Director achieve program and project goals
- Meet regularly with Lower School Director and Lower School Administrative Team to provide assistance and discuss progress on initiatives and operations
- Manage and maintain daily and monthly calendar of the entire Lower School and Director
- Communicate information to faculty, staff, students and parents regarding initiatives, programs and events using varied mediums
- Provide faculty with up-to-date student rosters and contact sheets, meeting schedules, and policies/procedures
- Monitor for overages, file and distribute Lower School budgets to faculty
- Complete monthly expense reports
Supporting Students and their Families
- Provide front desk reception, answer phones, greet and provide assistance as primary point of contact during the school day
- Monitor main entry and exit door and access to building by students and visitors using current safety and security protocols
- Create and distribute badges to authorized personnel for building access
- Assist with morning check in and badge distribution for substitute teachers
- Oversee and manage production, dissemination, and collection of online back-to-school registration information
- Maintain student files (paper and electronic), health and emergency records and, ensure faculty have necessary student health documentation
- Maintain student immunization records in Michigan Care Improvement Registry
- Coordinate dosage schedule for students with medication plans
- Serve as liaison to State of Michigan and Oakland County Health Division regarding required student medical records, attendance, and communicable disease report
- Provide basic first aid and maintain student accident records
- Order educational materials, register faculty for professional development
- Fulfill transcript requests and request transcripts for incoming students
- Maintain copies of attendance and progress reports for permanent records
- Coordinate, create and monitor parent signups for Parent/Teacher Conferences
Interdepartmental Support
- Work with Admissions Office in transitioning new families to the Lower School
- Coordinate logistics of key Lower School meetings and annual events
- Prepare materials and take notes during Lower School staff meetings as requested and distribute notes to faculty/staff
- Provide support to the Student Support Counselor and attend placement meetings
- Schedule interviews/sample lessons, assist in recruiting and onboarding new hires
- Serve on All School Crisis Team and Behavioral Threat Assessment Team
- Schedule, execute and monitor outcomes of drills per guidelines
- Maintain evacuation supplies and student sign out lists
- Organize and facilitate catering for meetings and special events
- Communicate with Maintenance Supervisor, Transportation Supervisor, and food service provider with regards to Lower School operations
Skills
- Present personable, welcoming demeanor as first point of contact for Lower School
- Experienced supporting school administrator including efficiently setting on-going schedule, effectively moving from one project to the next
- Maintain high level of discretion, confidentiality, diplomacy, and professionalism
- Excellent written and verbal communication skills including composing and proofing
- Strong technical and organizational skills, including proficiency in MS Office, database management, and website management. Experience using school administration software preferred
- Ability to identify, prioritize and manage multiple projects and assignments within established timelines
- Ability to form collaborative work relationships to facilitate project completion

Qualifications
- Bachelor’s degree and three to five years of experience or an equivalent combination of education and experience

Salary Consideration:
The estimated base annual salary for this full-time role is from $48K. The final base salary will be determined based on several non-discriminatory factors which may include job-related work experience; industry experience; education; skills; and knowledge.
