Job Title: Executive Assistant

Job Summary:
The Executive Assistant reports to the Vice President, Chief Tourism Development Officer, supporting the team and working with specific projects, including:
- International Sales and Marketing activities
- Domestic Travel Trade and Leisure Groups
- Attraction Passes
- Restaurant Week, Denver Arts Week, and other events as needed.
- Tourism Information Centers logistics
In addition to these duties, The Executive Assistant will assist the Vice President, Chief Tourism Development Officer to recruit, retain, and/or advance Visitor Information employees and approve employees’ timecards.
Supervisory Responsibilities:
This position has no Supervisory Responsibilities.
Duties/Responsibilities:
- Support Visit Denver’s vision, mission, and values by exhibiting the following behaviors: excellence and competence, collaboration, innovation, respect, personalization, commitment to community, accountability, and ownership.
- Support Visit Denver’s efforts related to Diversity, Equity, and Inclusion (DEI).
- Monitors several TIC (Tourism Information Centers) related items such as collateral needs. Assist with staff scheduling and other tasks as needed.
- Help coordinate Tourism Department projects as assigned, including Go the EXTRA Mile Hospitality Training Program, Denver Arts Week, tradeshow preparation, Mile High Culture Pass, City Pass etc.
- Assist with various weekly, monthly, quarterly, and annual administrative reports, monthly City reports, project activity details, calendars, meeting minutes, databases, etc.
- Help Vice President, Chief Tourism Development Officer track key projects’ status and key deadlines.
- Coordinate details for familiarization tours and site inspections as directed, including transportation, meals, appointments, amenities, and activities.
- Prepares and codes department expense reports, invoices and other financial transactions as assigned (e.g., purchase orders, invoice requests, check requests).
- Assist with review and proofing of Tourism website content, reports, collateral, etc. as directed.
- Act as a liaison with other departments and external vendors, including high-level staff and partner organizations.
- Assists with Local Branding Programs as assigned, including Denver Arts Week and Denver Restaurant Week.
- Assist with International programs such as missions, FAMs, and giveaways.
- Organize, track and order department client giveways and international lure brochures
- Work as an expert on our CRM system to support the department
- Attend and assist with company and departmental events as assigned.
- Monitor the Tourism and Visitor Information email box and respond to various Tourism clients including domestic travel trade and other leisure group requests as well as visitor questions.

Required Skills/Abilities:
- Proficient technology application skills; Advanced MS Office (Outlook, Word, Excel, and PowerPoint) and Google Suite (Docs, Sheets, and Slides)
- Excellent command of the English language, both oral and written.
- Effective interpersonal skills, maturity, good judgment and capable of communicating in a professional manner with a diverse range of individuals.
- Efficient and proven organizational skills; ability to prioritize and manage multiple projects/responsibilities simultaneously while meeting stringent deadlines in a fast-paced environment; detail oriented.
- Resourceful problem solving and proactive follow up skills,

Education and Experience:
- A Bachelor’s degree in Marketing, Communications, Hospitality, English, and/or a relevant field of study is required.
- Minimum of three (3) years of experience in a coordinator role; internship is preferred.
Physical Requirements:
- Must be able to remain in a stationary position, such as sitting or standing, for an extended period.
- Must be able to bend, stoop, and reach.
- Must be able to lift a minimum of 40 pounds on an occasional basis.
