Your Mission:
Your mission is to provide high-level administrative support to executive leadership while coordinating smooth, efficient daily office operations in a fast-growing organization. You will exercise strong ownership, sound judgment, and discretion to ensure seamless support for the team and well-run operations that enable effective collaboration.
You will report to: SVP, Operations
Key Responsibilities:
- Manage the CEO’s complex calendar and coordinate meetings across multiple locations and time zones
- Provide day-to-day administrative support to the CEO and executive leadership, including document preparation, file and data management, expense reporting, and event coordination
- Oversee DC headquarters common areas and conference rooms, ensuring spaces are organized, professional, and consistently well stocked
- Handle incoming and outgoing mail, including scanning and distributing correspondence and coordinating FedEx shipments and company mailings
- Manage conference room schedules and support meeting logistics, including agendas, meals, and AV setup in partnership with IT
- Support team members with general administrative needs and help coordinate internal events as needed
Who You Are:
- You have 3 - 5 years of administrative, coordination, or executive support experience, ideally in a fast-paced or startup environment
- You are detail-driven: Realize that details matter, have strong commitment to accuracy, and are organized
- You are proactive: Anticipate needs before they arise. You are skilled at working independently, exercising sound judgement, and juggling multiple priorities with precision
- You are a clear communicator: Strong verbal and written communication, with the ability to coordinate across internal and external stakeholders without ambiguity
- You are discreet: Know that maintaining confidentiality is paramount and exercise discretion when answering questions and sharing details with colleagues
- You are data-comfortable: Comfortable working in Excel and turning numbers into clear takeaways — whether it's an expense reconciliation, a travel comparison, or a quick analysis for the CEO
- You are technically proficient and AI-fluent: Strong skills in Microsoft Office (Word, Excel, PowerPoint, Teams) and comfortable using AI tools (e.g., ChatGPT, Claude, Copilot) to improve processes, build automations, and find better ways of working. Experience with Salesforce, Jira, and/or Confluence is a plus
Salary: $75,000-$95,000
Location: Washington, D.C. Our in-office team works from our Dupont Circle office Tuesday through Thursday. Remote work on Mondays and Fridays is voluntary, and employees are welcome to work from the office if they’d prefer.
